Job Description:

Assist with coordinating College Admissions Procedures

  • Management of the WebAdMIT online software application process, which includes: update CAS configuration portal, assign work groups and custom fields, review designated applicants for pre-requisite completion, add members to the program and lead training on how to access and utilize the program. Manage correspondence with applicants, and coordinates processing, mailings, and other related documentation. Update Admissions Committee Handbook on any new WebAdMIT procedures.
    • Pre-interview: Lead Zoom training for Admissions Committee members participating in interviews. Ensures that candidates have received proper documentation for their zoom interviews.
    • Post-interview: Keep track of missing pre-requisites for applicants including those interviewed and accepted. Assist with entering data on WebAdMIT. Manages yearly admissions statistics report using information provided by WebAdMIT reports and supports with other admissions accreditation reporting. Manages updating admissions related information on the vet med website. Assist with application feedback on selected group of applicants.

Manages Online Orientation for Incoming Freshman Class.

  • This includes updating modules in the Canvas platform from previous year’s orientation, adding or deleting new information, and keeping track of student’s progress before the fall semester start. Approves Gator 1 Card authorizations and coordinates the Family and Club Day event for students and guests. Supports in the planning of the Campus Freshman Orientation, which may include scheduling speakers, food, tours, and organizing groups for composite pictures, among others.

Administrative and clerical responsibilities

  • Manages assignments and maintaining of student lockers, mailboxes and club mailboxes. Co-manages office shared inbox and phone calls relating to admissions. Assist with various planning and delivery of events sponsored by the Office for Academic and Student Affairs. Supports with various team duties relating to website management.

Advising, recruitment, and mentorship

  • Co-manage the student services mailbox and office Admissions phone line. Supports college related outreach, pipeline, and recruitment initiatives. Leads yearly VMCAS informational session for Pre-Health Kickoff event on UF campus. Supports Pre-vet Advising Coordinator in feedback process for declined applicants.

Other duties as assigned.

Expected Salary:

$40,000 - $48,000

Minimum Requirements:

A bachelor’s degree; or an equivalent combination of education and experience.

1. Maintain a professional demeanor as this position represents the department and college to current and potential students, faculty, campus administrators, coworkers, and the public.

2. Knowledge of college and campus regulations regarding policies and procedures affecting admission, registration and student records, transcript analysis, summary, and verification.

3. Ability to communicate effectively, verbally and in writing with students, faculty, staff and a variety of personalities; needs strong combination of public relations skills and problem-solving skills.

4. Ability to write reports, compose correspondence, and summarize data for internal and external reporting.

5. Ability to organize, and coordinate work assignments.

6. Ability to utilize effectively OPS office help, to delegate tasks appropriately, and to coordinate and plan with other office staffs’ needs and schedules.
