The Office Assistant participates in the smooth functioning of the University Advancement’s operations by helping with clerical and other UA Medicine-related tasks during the 2023-2024 academic year at 10-15 hours per week. Having  work-study students in this position has helped advance the units focus strategic implementation of its fundraising, communications, events, communications and stewardship mandates  University Advancement launched its fundraising campaign [McGill200 Campaign] in September 2019.

Responsibilities may include, but not limited to:

  • Providing clerical assistance in support of the UA Medicine team. Depending on qualifications may spend majority of  time assigned to programming areas: communications or stewardship and special events.
  • Picks up and sorts mail, prepares large mailings (thank you letters, newsletters) including collating documents and stuffing envelopes. Filing and other clerical duties. Update and maintain various information databases (student awards, donor database, etc.)
  • Draft thank you letters, review and edit thank you letters submitted by student award recipients and donors and other correspondence. Draft letter updates and other correspondence for fundraising team.
  • Edit documents for accuracy of information.
  • Book beneficiary meetings and ensure that necessary materials are provided to the fundraising team.
  • Ensure annual updates of Medicine’s donor wall.
  • Provide administrative and logistical assistance for various events and other special projects as needed.
  • Updating event registrations, calling alumni to boost event attendance.
  • Creating and editing content for various social media platforms.
  • Making phone calls to alumni and friends of the university to boost event attendance.
  • Special projects, as requested.


  • Must be enrolled in a WORK STUDY program at McGill.


Minimum Education and Experience:


High School Diploma 2 Years Related Experience


Hourly Salary:


(AMUSE C) $16.06
