The Opportunity
Join our team as an Executive Assistant, where you'll provide unparalleled support to our VP, People and Culture. As the first point of contact, you'll ensure seamless operations and maintain the highest standards of professionalism. As an Executive Assistant, you will take initiative and work with a high level of accuracy and sound judgement. You will develop a comprehensive understanding of the Vice Presidents responsibilities and proactively manage administrative tasks, in addition to actively supporting SAIT's People and Culture initiatives and objectives. 
The Role
    • Coordinate and schedule meetings, events, and committees for the VP, People and Culture
    • Act as a liaison between departments within the People and Culture division, providing support and contributing to various projects
    • Facilitating effective communication channels within and outside SAIT
    • Prepare the VP, People and Culture for meetings by ensuring they are briefed and well-prepared
    • Prepare reports, compile data, and provide essential background materials for meetings and presentations
    • Handling confidential information with discretion and professionalism
    • Compile research as necessary and provide reports to the VP, People and Culture for reference and consideration
    • Work collaboratively with the Executive Office Team on a regular basis
    • Assist with tracking financial reporting aspects and handle travel arrangements
    • Collate, review, and manage all expenses, ensuring compliance with company policies
    • Contributing to the development of office policies and procedures

Qualifications & Experience
    • Post-secondary education, preferably with a Bachelor's degree or equivalent experience in senior administrative roles
    • Minimum of 5 years of senior administrative assistant experience, ideally in a public sector organization
    • Strong collaborative skills
    • Exceptional organizational skills
    • Proficient time management and prioritization abilities
    • Strong communication skills, both verbal and written
    • Attention to detail and accuracy in tasks
    • Proficiency in document management, including editing, formatting, and proofreading
    • Flexibility and adaptability to changing priorities
    • Discretion and ability to handle confidential information
    • Research skills for gathering and analyzing information
    • Ability to anticipate needs and proactively support executives
    • Strong interpersonal skills for building relationships with internal and external stakeholders
    • Problem-solving skills to address issues and challenges efficiently

Job classification: Executive Assistant
Salary range: $65,000 - 85,000
Paid Leave: 4 Weeks' Vacation / 14 Flex Days per year
Hours Per Week: 37.5
