Job Summary
The Lesbian Gay Bisexual Transgender Resource Center (LGBT RC) is seeking a student who is a self-motivated worker and enthusiastic about LGBTQIA+ issues on campus. The Office Assistant is often the first point of contact for students and visitors, and a critical team member to welcome students and connect them to resources. This position is supervised by the Director. The Office Assistant will coordinate general communication for the office, address student questions via in-person, email, video calls, and phone, schedule meetings, maintain mailing lists and social media accounts, complete data entry and assessment projects, and complete ongoing projects to enhance the efficiency of the office. In addition to these duties, the Office Assistant will assist in daily office upkeep, lead in fostering a welcoming environment for students and visitors in the center, and support the planning and coordination events with other team members.
Responsibilities
  • Must be a current, enrolled student at the University of Utah (undergraduate or graduate). 
  • Must be available to work 19 hours a week. This includes academic breaks (summer, fall, spring, etc.), as well as occasional evening and weekend work.
  • The successful candidate will enjoy working with people. Past experience doing community-building work with teams, groups, or organizations is highly desired.
  • This position involves the ability to multitask multiple ongoing projects. Time management and organizational skills are essential. Strong verbal and written communication skills are needed to provide information to students in a friendly and easy-to-understand manner. Candidates must demonstrate enthusiasm for learning about LGBTQIA+ identities and working with students of diverse backgrounds.
  • Must have proficiency in Microsoft Office Suite. Training for other essential office programs and tools will be provided. 
Minimum Qualifications
  • Staff the LGBT RC front desk to provide direct student support via in-person, email, video calls, and phone interactions. Answer questions about LGBT RC services and programs, refer to appropriate campus and community resources, and intervene during student challenges or crises to connect students to appropriate staff. Includes answering emails from anonymous Queer Peers email service and staffing virtual drop-in hours online.
  • Schedule meetings for professional staff and reserve rooms for meetings. 
  • Check students in and out of meetings with staff. 
  • Regularly add students and community members to email lists and Discord virtual lounge; maintain mailing lists to be accurate and up-to-date.
  • Respond to student inquires and requests in a timely fashion that shows care and sensitivity. 
  • Maintain student privacy in all records and verbal/written communication. 
  • Maintain the LGBT RC website, post updates and edits as requested. 
  • Maintain LGBT RC social media accounts by posting content and responding to messages.
  • Assist the Director in large mailings for events and donor outreach.
  • Assist the Director in creating surveys and preparing data for reports.
  • Complete ongoing projects to enhance the efficiency of the office.
  • Maintain an inventory of office supplies and order supplies as needed.
  • Assist with general office cleaning and upkeep. 
  • Represent the LGBT RC and the University of Utah at events, tabling functions, meetings, etc.
  •  Assist with coordinating LGBT RC events as needed.
  • Attend weekly staff meetings and regular one-on-one supervision meetings.
  • Other duties as assigned.
