JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Proposal and Award Generalist will be a conscientious, organized, and detailed professional with excellent communication skills who will provide direct administrative and professional support to the College of Engineering, Department of Architectural Engineering. This position will report to the Administrative Manager and will perform most work activities in a systematic, complex and deadline-driven environment with minimal supervision.

Responsible for assisting faculty with post-award activities including, but not limited to, the following:

  • Monitor the budget and status of incoming, active and terminated research accounts including subcontracts.

  • Track obligations created by established cost-share commitments.

  • Analyze research reports within the faculty’s portfolio to assess their near- mid- and long-term ability to pay research staff, graduate research assistants, wage employees, postdoctoral salaries and other research costs including facility charges, supplies/materials, equipment and travel, as required to meet research deliverables.

  • Determine funds availability and length of contract for the processing of academic year buyout and supplemental pay for faculty and instructors.

  • Meet with faculty to convey assessments of their research portfolio and provide financial reports and documentation on the status of their research budgets.

  • Work with the Department’s Finance staff to ensure travel expenses and purchases of supplies/materials and equipment are allowable, allocable and reasonable. Consult PI and/or Administrative Manager to address questions or concerns.

  • Work with the Office of Engineering Research Administration (OERA) to request budget realignments and no-cost extensions in a timely manner. Assist OERA with closeout procedures. Consult OERA to ensure compliance with University, industry and federal policies and procedures.

  • May also assist in the preparing a budget and budget justification for pre-award proposals.

Education and Experience:

Accounting and research administration experience required. Knowledge and understanding of SIMS/SIMS Budgets, SIMBA and Excel strongly preferred. Typically requires a High School Diploma or higher and 3+ years of related experience, or an equivalent combination of education and experience.

Additional consideration given to individuals who have completed the ACES (ACOR Certification and Education Series) program or similar certification program.
