JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Office of Finance, Budget and Post Award under the Office of the Senior Vice President for Research (OSVPR) is searching for a detail oriented, highly motivated Proposal and Award Generalist - Advanced Professional to join our team supporting research administration for OSVPR and the wider university.

This position will report to the Grants and Contracts Manager for OSVPR, supporting all post award functions in a high volume, fast paced, complex, detailed, and multifaceted environment.

Responsibilitites: Duties of the position include providing support and expertise to units within OSVPR on post-award matters as well as assisting colleagues in academic college research administration offices as needed. The selected individual’s job responsibilities will include but are not limited to the following:

  • Budget and expense analysis on all restricted awards
  • Periodic invoicing
  • Financial reporting
  • Communications with PI's and departmental staff on a variety of administrative functions that occur between award inception and award close-out.
  • Agreement reviews on new awards
  • Prepare documents in Penn State's financial system,
  • Activate renewal years and update budgets
  • Transfer funds to and/or from other colleges/campuses.    

The Proposal and Award Generalist will also perform the following tasks:

  • Budget revisions, no-cost extensions, and other research administration functions.
  • Assist staff with prior approval requirements for changing aspects of a fund, review award terms and conditions
  • Prepare and maintain budgetary records and financial files of sponsored projects and assist in the completion of all closeout procedures as necessary for timely financial close-out of sponsored projects,
  • Assist with the preparation of financial reports and invoices for sponsored projects
  • Serve as liaison between the departmental staff, project administrative unit staff, and Office of Sponsored Programs. 

Education and Experience: The position typically requires a Bachelor’s degree or higher and 2+ years of related experience, or an equivalent combination of education and experience.

Familiarity with advanced Microsoft Word and Excel functions, Strategic Information Management System (SIMS) grant reporting and budget functions (or similar institutional programs), and award management experience are highly preferred. Requires flexibility and self-management skills, including the ability to prioritize many diverse responsibilities. Must be able to thrive in a fast-paced, deadline-driven environment.

Exceptional communication (both verbal and written) and interpersonal skills required. Successful graduation of the ACES program or the external equivalent preferred.

The pay range for this position, including all possible grades is:

$51,000.00 - $74,000.00
