JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Population Research Institute (PRI) is seeking a detailed-oriented, motivated individual as a Proposal and Award Generalist to provide administrative and pre-award support on sponsored research awards.

This position will perform work activities in a large volume, fast paced, detailed environment that requires multi-tasking expertise, managing conflicting priorities, timely work production and the ability to solve complex problems. The ideal candidate should possess excellent skills in organization, customer service, communication (written and verbally) and the ability to work independently and in a team environment.

Responsibilities: The pre-award duties will include but are not limited to:

  • Lead, direct, and manage the pre-award side of research administration (proposal submission and progress reports) for PRI which is composed of one or more employees
  • Assist faculty or others with proposal preparation through reviewing sponsor guidelines and University guidelines, drafting required forms, representations and certifications, and budgets
  • Resolves issues and implements solutions; initiates process improvements to address systemic roadblocks
  • Collaborate with college/unit offices on funding opportunities requiring special handling such as limited submissions, RFA (Request for Application), RFP (Request for Proposal), and other solicitations
  • Draft cost share budgets and requests for obtaining cost share; obtain faculty and department/unit approval
  • Initiate and submit the IAF (Internal Approval Form) and obtain approvals of faculty and department/unit heads via workflow
  • Manage and oversee submission of PRI proposals and progress reports
  • Maintain and share knowledge of ERA (Electronic Research Administration) external sponsor sites in addition to units internal tracking database
  • Communicate and obtain required approvals, working with various offices as needed, Office of Sponsored Programs, Research Accounting, Office of Research Protections, and other University contacts
  • Provide backup support for the other office staff (post-award administration) and participate in various meetings

Education and Experience: This position will be filled at a Level 3 or 4. A Level 3 typically requires a Bachelor’s degree or higher and 2+ years of related experience or an equivalent combination of education and experience. Higher levels of experience are required for higher level positions.

Preferred Experience:

  • Graduate of the Penn State ACOR (Administrative Committee on Research) Certification and Education Series (ACES) (or equivalent)
  • University system experience such as: SIMS (Strategic Information Management System), SIMS Budgets, SAP Concur, and Office 365 apps
  • Authorized Signing Official (AOR) on behalf of Penn State
  • NIH grant experience is highly preferred
