Position Information     

This is a full-time, permanent (probationary) position.

Overtime is not expected, but some flexibility in scheduling may be needed to support attendance at external events (e.g., graduate fairs held on weekends)

Satisfactory completion of a background check (including a criminal records check) is required for employment.  CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

The salary range for this classification is: $4,304 - $6,120 monthly. 

Major Duties

Under general supervision of the Dean of Graduate Studies and Research and the day-to-day oversight of the Senior Graduate Studies Program Specialist, the Graduate Recruiter performs duties related to the recruitment and enrollment of graduate and postbaccalaureate credential and certificate students to CSUDH. Responsibilities include meeting prospective students to provide information about enrollment and admissions. This position will also assist with the implementation of programs designed to assess and prepare incoming/prospective students, including New Graduate Student Orientation (NGSO), campus tours and the front information desk. This position is also responsible for the coordination of graduate student’s master’s thesis/project review and publication and independently oversees all aspects of thesis review and publication, including specific responsibility for reviewing theses/projects for grammar and conformance to the formatting standards, and for the electronic publishing of each master's thesis/project submitted to the Office of Graduate Studies. The Graduate Recruiter will create thesis submission reports and track the review status of each thesis and project to ensure that all required checkpoints are met, and facilitate successful completion of the thesis/project submission process, including the electronic publication of student work to Hydra and copyrighting.

Qualifications

Required Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year‑for‑year basis

Required Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job‑related field may be substituted for one year of the professional experience.

Knowledge, Skills and Abilities

Working knowledge, or ability to quickly obtain working knowledge, of California Title 5 regulations and CSU Chancellor's Office policies pertaining to graduate education. General knowledge of student-centered outreach and enrollment management techniques, and of the principles of individual and group behavior. Ability to learn, interpret, and apply a wide variety of program rules and regulations related to graduate programs at CSUDH. Ability to use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through written and verbal communication; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize individual and group-based differences in value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. Strong knowledge of English grammar, punctuation, and spelling; ability to format correspondence, reports, and written directives, and to compose correspondence from fragmentary instructions. Ability to handle effectively a broad range of interpersonal contacts, including those at a higher level and sensitive in nature, and to work well with diverse faculty, students, staff, and administrators. Ability to operate standard office equipment and effectively use standard office software, including Adobe Acrobat and the Microsoft Office suite. Ability to exercise good judgment and independently balance multiple work unit priorities and projects

Preferred Qualifications

Graduate degree or postbaccalaureate credential. Two or more years experience working at an accredited college or university. Knowledge of FERPA and experience in handling confidential and sensitive information with tact and discretion. Prior work experience in a copy-editing or scholarly editing position. Good working knowledge of publishing repositories and learning management systems, such as Blackboard.

Responsibilities

50% - Recruitment Activities
• Graduate Fairs – Independently handle registration, prepare and attend all assigned graduate school fairs and lead recruitment efforts for all CSUDH graduate programs. Distribute student interest information to Graduate Program Coordinators; order and prepare packets for distribution at fairs;
• Answer all incoming telephone calls from both on-and-off campus, and use independent judgment and discretion, direct callers to the appropriate individual for assistance;
• Schedule appointments with current and prospective graduate and postbaccalaureate students;
• Maintain inventory of graduate program brochures and promotional materials;
• Advise prospective students on graduate program options and assist in finding a program of interest.

30% - Thesis/Project Review and Publication
• Independently oversee all aspects of thesis review and publication;
• Create Review Folios for each student submitting a thesis/project on Blackboard;
• Review each thesis/project for formatting to assure that it conforms with thesis/project guide;
• Track the review status of each thesis/project and update the thesis log;
• Facilitate successful completion of the thesis/project submission process;
• Meet with students one-on-one to assist them with correcting formatting and grammatical errors;
• Code and upload theses/projects for publication on the CSUDH Hydra website so they can be searched by multiple criteria such as keyword, administrative unit, title, or project name;
• Copyright student work through US Copyrighting Office;
• Update thesis/project guide; develop materials/training workshops for thesis writing and formatting;
• Develop and maintain thesis/project electronic templates and inform thesis/project review website;
• Identify and alert the Senior Graduate Studies Program Specialist and/or Dean of Graduate Studies and Research of any potential problems that might lead to postponing student's graduation date;
• Clear students for graduation by preparing the necessary memo to Admissions and Records.

15% - Graduate Studies Office Operations
• Develop and evaluate multiyear enrollment trend reports;
• Develop reports on student recruitments vs. applications and admissions;
• Monitor and evaluate data in CRM; update data as needed;
• Assist Sr. Graduate Studies Program Specialist in verifying student’s eligibility and processing graduate student requests handled through the Graduate Studies office (e.g., Change of Objective, Advancement to Candidacy, Petitions for Exception, Planned Educational Leave, etc.);
• Assist at New Graduate Student Orientation, Graduate Week, and Student Research Day events: work with GSR staff to identify and reserve locations; coordinate catering; contact students, staff, departments, and administration for event participation, assist with development of the agenda and materials to be distributed to students.

5% - Perform other duties and responsibilities as assigned.
