Graduate Aid Program Manager, Student Financial Services – Georgetown University

The mission of Georgetown’s Office of Student Financial Services (OSFS) is to make it financially possible for every admitted applicant to attend Georgetown University, ensuring that we recruit, retain, and graduate a talented and diverse learning community.

The Graduate Aid Program Manager provides technology support services and client services for graduate students on the Main Campus; coordinates daily systems operations and batch production scheduling, procedures, and reports that will enhance operational efficiency and administrative decision-making. They also provide client services to the increased number of both prospective and current graduate students who are seeking financial aid advising and financial support. This non-traditional population requires a great deal of hands-on and time-intensive counseling about managing their student loan debt, steps to rehabilitate previous student loans if they are currently in default, and how Georgetown awards merit and need-based aid. 

Reporting to the Associate Dean, the Graduate Aid Program Manager has duties that include but are not limited to:

Technology Support Services

  • Working closely with the Associate Dean and the Director of Graduate Financial Aid Programs, set up academic enrollment periods in the Banner student system
  • Assist in updating and maintaining the financial aid yearly setup for Main Campus graduate programs that entail setting up aid periods for current and new programs
  • Build budget component rules and assist in establishing graduate cost of attendance budgets; and maintain and update these budgets for each academic program. (Budgets include tuition, room and board, books, personal expenses, travel, and loan fees.)
  • Apply appropriate budget rules in the Banner student system to account for the many different aid disbursement scenarios associated with each graduate program, depending on the start and end dates of the program, number of weeks in the program, whether instruction in provided in modular form or otherwise, etc.
  • Working closely with other OSFS staff, create graduate ad‐hoc operational reports using our current reporting applications, Cognos, and population selection (PopSel) queries in Banner; and update current reports as needed
  • Process daily system jobs that support this operation to effectively deliver financial aid in the form of both scholarships and loans on a timely basis
  • Automate and schedule batch production processing for systems jobs that can be automated
  • Maintain and post graduate school financial aid information on the OSFS website
  • Maintain professional and technical knowledge by attending educational workshops and training, reviewing operational professional publications and establishing personal/professional networks
  • Recommend information technology strategies, policies, and procedures by identifying problems, evaluating trends. and anticipating requirements and changes         

Financial Aid Administration

  • Serve as the point of main contact for graduate student financial aid inquiries
  • Answer general questions posed by prospective graduate aid applicants and current graduate students’ aid
  • Help manage the suspense file in Banner when graduate students’ applications do not get into Banner appropriately; and resolve the problem and load suspense records into Banner

Applications and Awards             

  • Review graduate aid applications and process awards for merit aid, federal loans, and private loans
  • Discuss financial aid awards with prospective and current students, providing debt management counseling and explaining how aid is disbursed to cover direct and indirect costs incurred by the graduate student
  • Perform the Federal verification process as needed

Merit Awards

  • Work closely with the graduate academic departments to secure their merit awards on a timely basis so the need‐based part of their aid application can be processed
  • Enter the merit awards into the Banner system
  • Assist in the creation of a new system to record merit awards by academic departments to accurately track graduate scholarship expenditures

Qualifications 

  • Bachelor's degree
  • Proficiency in Microsoft Word, Excel, PowerPoint, and data analysis tools
  • Experience in customer service
  • Communications skills and strong customer service orientation
  • Creative thinking, self-motivation, accuracy, organizational skills, and attention to detail

Preferred qualifications

  • Knowledge of Banner Student Information System, reporting utilities such as COGNOS for report writing, and PC operating systems
  • Knowledge of financial aid operations and higher education industry software
