Job Summary
The Office of Scholarships is seeking a Director of Scholarships. This is a full-time (1.00 FTE), 12-month, professional faculty position.
The Director of Scholarships is responsible for managing all centralized scholarship management functions and processes, with a focus on responsible administration of donor funds, while maintaining a constant and critical focus on student service. The Director works as a central partner with all units in the Enrollment Management Division, especially admissions and financial aid; and with OSU colleges and other units awarding scholarships as necessary, and with the OSU Foundation on the formation of new scholarship programs and stewardship of existing scholarship funds.

Key Responsibilities
60% Leadership, Oversight & Compliance – Award Programs
  • Develops and manages scholarship awards and creates processes to assure responsible use of both university and donor funds.
  • Oversees compliance with awarding guidelines and ensures budgets are accurate.
  • Collaborates with OSU colleges to communicate and manage awarding processes and budget management where appropriate.
  • Creates, participates in, and directs stewardship programs that seek to recognize donor contributions and encourage continued giving.
  • Participates in Enrollment Management strategy and other efforts to meet enrollment goals, especially as articulated in the Strategic Plan.
  • Collaborates with other offices in Enrollment Management, especially admissions and financial aid, to ensure the best student service for both prospective and current students.
  • Develops new award programs in collaboration with the Director of Admissions and the Director of Financial Aid under the direction of the Associate Provost for Enrollment Management.
  • Develops and implements a coordinated and campus-wide effort to promote, award, and manage undergraduate scholarship funds.
  • Serves as campus resource for scholarship award administration.
  • Oversees compliance with donor restrictions, assists with fundraising and donor stewardship, departmental training, program development, coordinates scholarship competitions, develops committee materials, develops, and initiates recipient communications, recipient events.
  • Assists in the development of technological solutions to enhance scholarship administration. Collaborates with campus units and community groups to design solutions to ensure efficient, equitable practices in the administration of scholarship programs.
  • Determines fund availability in conjunction with the Foundation.
  • Monitors institutional scholarship and remissions budgets, expenditures and provides regularly scheduled reports to the leadership team.
  • Remains current on research regarding the impact of gift aid on recruitment and retention.
  • Provides analysis of assessment measures for institutional scholarship programs, predictive analytics to maximize impact of scholarship awards.
  • Member of the Enrollment Management directors, leadership team.

20% Communications & Student Service
  • Coordinates internal communications to ensure campus-wide understanding of student-related scholarship issues.
  • Serves as liaison with internal stakeholders, such as colleges, development officers, business affairs, the prestigious scholarship coordinator, international scholarship committee, OSU Cascades, as well as with external stakeholders, such as scholarship providers to promote seamless service and adherence to institutional, state and federal policies and procedures.
  • Oversees a front-facing office that serves current, newly admitted, and prospective students and families, as well as internal and external campus partners. Responsible for training and scheduling front-line staff to ensure a high-level of customer service.
  • Develops annual scholarship calendar and publishes application deadlines and updates scholarship sources on the web.

15% Supervision
  • Function as the supervisor of record for three department employees and student workers.
  • Plan, assign and approve work; rewards/discipline; respond to grievances; hire/fire (or effectively recommend); prepare and sign performance evaluations/reviews.

5% Events & Other duties as assigned.
  • Participates in recruitment events and other external activities.
What You Will Need
  • Bachelor’s degree from an accredited institution.
  • Five years in university administration connected to admissions, financial aid, scholarships, or related functions.
  • A demonstrable commitment to promoting and enhancing diversity.
  • Demonstrated experience with scholarship administration, scholarship management systems, and an understanding of donor relations and stewardship.
  • Basic knowledge of federal regulations regarding coordination of financial aid awards.
  • Demonstrated strong verbal and written communications skills
  • Experience managing complex scholarship programs in support of institutional enrollment goals.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to Have
  • Master’s degree
  • Experience with The Federal Education Rights Privacy Act (FERPA)
  • Considerable experience with technology, including but not limited to University ERP systems, Technolutions Slate, and/or Scholarship Universe.
  • Cross-functional experience in Enrollment Management functions, especially financial aid.
Working Conditions / Work Schedule
Typical office environment. Director may be asked to participate in recruitment or awarding travel that could include overnights and weekends.
