About the Department:
The College of Health & Human Services Office of Student Affairs is responsible for enhancing and strengthening all aspects of the student experience in the College (pre-admission through graduation). The Office is the primary physical space to welcome current and prospective students and other visitors to the college, and provides guidance and support to students through recruitment, admissions, advising, assessment, and student engagement.   
About the Position:
The Student Affairs Coordinator is responsible for creating and disseminating general updates on academic policies, and triaging student advising needs. The Student Affairs Coordinator responds to general advising inquiries, and organizes advising resources such as group advising, online resources, online advising, and alternative advising hours. The Student Affairs Coordinator is also responsible for receiving and processing academic actions with students, CHHS faculty/staff, and the relevant offices involved. The Student Affairs Coordinator supervises one Administrative Assistant and ensures that the administrative needs of the Office of Student Affairs are supported.
Responsibilities: 
  • Manage processing of academic actions and other special approvals for students, faculty, and academic advisors;
  • Communicate with students, faculty and staff to convey policies, forms and supplemental documentation required for appeals and/or exceptions to policy, and status of requests;
  • Work with the Office of the Registrar and the CHHS Director of IT to create efficiencies in the process of submitting and reviewing forms (e.g. moving paper forms to online submission system) Collaborate with Administrative Assistant to ensure all forms are entered into academic actions database; 
  • Ensure complete records (paper and/or online) are maintained reflecting relevant information, decisions, and communication with students;
  •  Collaborate with Director of Student Success, Academic Advisors, and CHHS departments to implement new advising modalities, including but not limited to: online/remote advising, group advising sessions, extended advising hours, and online self-service resources; 
  • Manage processes for adding and removing advising holds in a timely fashion’  
  • Maintain program usage statistics, analyze data, and prepare reports; 
  • Support the Director of Student Success, Data Analyst, and Associate Dean for Student Affairs in developing assessment strategies for alternative advising methods;
  • Develop and prepare advising materials, such as handouts, checklists, general information summaries, and newsletters; 
  • Collaborate with University Career Services and Undergraduate Education to engage the Health Industries Career Advisor and the Pre-Health Advisor; 
  • Manage operating budget for the Office of Student Affairs, in collaboration with the Associate Dean for Student Affairs and Administrative Assistant;
  • Train, supervise, and mentor Administrative Assistant and a team of student workers; 
  • Develop training program, manual, and other training resources for student and professional staff working in the front office area; 
  • Create a schedule for student workers to ensure coverage during all hours the office is open; 
  • Serve as the Student Affairs liaison to the CHHS Marketing & Communications Office; 
  • Maintain OSA website, and ensure academic advising and policy information is up to date; 
  • Assist with information sessions for prospective students, admissions visits, and orientation events as needed; 
  • Assist in planning and staffing college events such as the Awards Ceremony, Degree Celebration, Graduation Reception, National Public Health Week, Spirit Week, and student programming; 
  • Maintain a regular schedule to ensure the office is open for business on time each morning and closed properly at the end of each workday.

Required Qualifications: 
  • Bachelor’s degree or an equivalent to experience and years of education;
  • Experience in a service-oriented office setting; 
  • Budget management and/or accounting experience; 
  • Experience working in a student-centered office environment;  
  • Ability to work in a diverse and inclusive environment.

Preferred Qualifications: 
  • Master’s degree in Student Affairs, Higher Education, Psychology, or a health-based discipline preferred; 
  • Experience developing and delivering presentations;
  • Experience working with undergraduate students; 
  • Proficiency in student information and scheduling systems including, but not limited to EAB Navigate, Salesforce, Banner, Microstrategy, and DegreeWorks.
