The Office for Research (OFR or Research) provides essential services university-wide that support faculty research and scholarship. The OFR teams support identifying sponsored award funding opportunities, submission of grant proposals, post-award financial management, negotiation of contracts, research regulatory affairs, intellectual property and commercialization activities, core services, and animal care provided by the Comparative Medicine Resources organization.
Posting Summary
Rutgers, The State University of New Jersey, is seeking an Award Setup Supervisor for the Office for Research. As part of the Office for Research, this position will work within Research and Sponsored Programs (RSP) as a critical bridge between the Pre-Award proposal stage and the Post-Award sponsored project activity. This position is responsible for the functional operations of award intake and setup for all awards processed across the three campuses of Rutgers.
Among the key duties of this position are the following:
  • Identifies financial, administrative, and/or regulatory issues impacting the execution of an award and works with the research community to resolve these issues and establish the appropriate accounting framework on fully executed awards.
  • Responsible for daily oversight of award set up specialists within RSP.
  • Works with the RSP leadership to prepare metrics and drive improvements related to systems and process.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
  • Requires a bachelor’s degree in business administration, accounting, finance or related field; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of grant administration in a university setting.
  • 5 years of experience administering grant and contracts required, preferably in college/university or non-profit organization.
  • An advanced degree may substitute for up to two years of professional experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Requires strong analytical, communication and interpersonal skills.
  • Proficiency in Microsoft office products – Excel and Access.
  • Must possess excellent written, verbal, organizational and analytic skills and the ability to function in a team environment.
  • Must be able to understand and apply the information pertaining to grant & contract documents, University and agency policies, and other governing regulations to ensure compliance.
  • Must be able to handle multiple tasks and special assignments in a professional manner.
  • Must be capable of working with diverse population of clients.
Preferred Qualifications
  • Knowledge of Rutgers University systems, policies, and procedures pertaining to sponsored program accounting is highly desirable.
  • Knowledge of research compliance preferred.
  • Supervisory experience is highly desirable.
  • Experience working with Click Commerce-based systems highly desirable.
Equipment Utilized
  • The incumbent will use the Click Commerce-based Pre-Award Research Administration and Proposal Submission System (RAPSS), Microsoft Office Suite products, and Oracle Cloud FMS.
  • Will also utilize available tools for analysis of sponsored programs, such as the Award Set Up Access database, GCA’s Grant SPAN databases, and other sources to develop reports, extract and analyze large sets of data, and other related information.
Physical Demands and Work Environment
  • The work environment is a busy, deadline-driven office.
  • Must be able to work in a team environment under pressure and be adept at multi-tasking.
  • No unusual physical demands.
