Sponsored Programs is part of the Office of Research , a group dedicated to aiding the research community in navigating the lifecycle of their work, from finding funding to creating proposals to helping inventions find their way to the public.

Under the guidance of the Manager of Award Setup, responsible for creating and modifying sponsored research accounts. This process involves reviewing award notices, account information and file documentation, verifying that all necessary internal approvals have been obtained, reviewing and adjusting budgets for set-up, recording appropriate data into the Kuali Research system, participating in award set-up Quality Assurance checking, and issuing account notifications to Principal Investigators (PIs) and Department Administrators (DAs). The Award Maintenance Associate works closely with Research Administrators (RAs) in Sponsored Programs Pre-Award and Post-Award groups to resolve issues and answer questions that arise during the account set-up process. The Award Maintenance Associate also provides backup for award intake and other Kuali Research and SAP operational functions.

In addition to the above noted activities, the Award Maintenance Associate is also responsible for performing all account maintenance activities including but not limited to conducting all required project close-out budgetary actions and providing financial status updates to other central BU offices including Payroll, Accounts Payable, and Sourcing transactions to ensure successful and timely general ledger postings. The Award Maintenance Associate manages the system close-out process of all sponsored accounts which includes processing budget actions, status changes and adding close-out documentation to the award management systems. The Award Maintenance Associate conducts research and analysis for project related payroll run failures to rectify issues that are prohibiting the payroll run to process. The Award Maintenance Associate manages the Post Award off-cycle payroll log as part of the Post Award/central payroll off-cycle process. The Award Maintenance Associate collaborates with SP sub award staff to set-up and maintain sub recipient Fund Reservations (FRN) to assist Principal Investigators (PI's) in reviewing the commitment and expenditures against each outgoing sub recipient agreement. The Award Maintenance Associate assists SP, Research Accounting, and Department Administrators when issues arise related to FRN balances and performs close-out reductions as needed. The Award Maintenance Associate performs account maintenance activities for SAP master data including, but not limited to, processing RFDFs, updates to budget validity, award close out actions, and award close-out projects.

  • Work experience: 3 years required
  • Education experience: Bachelor's degree required
  • Strong computer skills, excellent interpersonal skills, ability to be flexible and work independently, and three years of related experience, preferably in research administration at an institution for higher education. Familiarity with SAP preferred.
  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms and bend to lift items. This position requires the ability to occasionally lift office products, catering and supplies, up to 20 pounds.
