Summary
Student Development & Well-Being is looking for an administrative assistant IV interested in supporting a dynamic and innovative department. Student Development & Well-Being supports the holistic development of students by collaborating with campus and community partners in providing intellectual, physical, emotional, social, and civic experiences. This position provides administrative support to the Associate Vice President of Student Development & Well-Being/Dean of Students and day-to-day operations for the Dean of Students office suite and Student Development & Well-Being departments. This person will perform complex and highly confidential administrative support duties such as preparing documents, processing reports, developing meeting materials, managing student issues, updating websites, coordinating events, and other duties as assigned.

Key Roles and Responsibilities:

50% Support the Assistant Vice President/Dean of Students & Deputy Dean of Students:
Coordinates and manages the AVP’s daily calendar and workflow. Drafts internal and external communications. Tracks and supports organization-wide initiatives led by the AVP. Coordinates, prepares, and revises reports, publications, presentations, and public-facing documents. Performs advanced and confidential administrative support duties, including scheduling meetings, preparing meeting materials, following up on assigned tasks, coordinating logistics, composing correspondence, researching information, maintaining policy, various university-wide protocols, and other duties as assigned.
50% Support organizational operations and daily operations:
Manages and updates department websites. Prepares office paperwork. Tracks, reconciles, and navigates university systems for travel, purchasing, scheduling, hiring, budgets, and other business processes. Maintains office equipment inventory and supplies. Maintains an electronic filing system. Coordinates various events such as Week of Welcome Outreach, Student Development & Well-Being staff appreciation, Death of a Student Memorial, and other events as needed. Handles incoming calls and walk-in traffic for the Dean of Students’ office suite. manages Dean of Students’ office suite front desk operations. Provides budget support. Supports Student Development & Well-Being department’s administrative needs.
Required Qualifications
Graduation from an accredited institution with a bachelor’s degree and one year of experience related to the summary of duties; or an associate’s degree and three years of experience related to the summary of duties; or any combination of related education and/or experience totaling five years.

  • Skill in the use of computers and computer software applications, including Microsoft Office suite such as Teams, OneNote, etc.

  • Ability to perform a variety of administrative support and confidential duties with minimum supervision

Physical Requirements
Work is performed generally in an office environment. Must be able to stand or sit for long periods of time.
