Responsibilities:
Personal Assistant to Vice Dean Education
Provides secretarial and administrative support to the Vice-Dean (Education) such as:
Calendar management; organise and schedule meetings
Work closely with internal and external stakeholders to arrange key meetings chaired by Vice-Dean (Education)
Plan and co-ordinate travel arrangements including booking of air ticket and accommodation
Other ad-hoc requests by Vice-Dean (Education)
Medical Education Research & Scholarship Unit (MERSU):
Assist in the setting up, procurement, recruitment and budget monitoring/reporting of all education grants awarded to members of MERSU
Coordinate meeting schedules and logistics of visiting academic staff including flight/accommodation arrangements, taxation/HR clearance
Manage logistics of all MERSU events (seminars, symposia etc) including publicity, logistics arrangements (refreshments, venue, attendance record)
Assist the team with the updating of ORCID regularly and keep abreast of their publications and works
Be the main administrative point of contact for MERSU, Educational Development and Medical Education team, such as assisting in disseminating essential information to the relevant department members and maintaining the group email of Office of Medical Education.
Educational Development:
Assisting in the monitoring/reporting of the Educational Development team’s budget, and liaise with external vendors to procure goods and/or services
Advertise Educational Development workshops to all relevant parties
Manage the registration and attendance of the workshops, Provide (pre-, during and post-) logistical support for the workshops
Ensure good documentations and tracking of workshop attendance and participants’ feedback
Arrange and coordinate class observations
Manage and coordinate Team-Based Learning (TBL) facilitation schedule with relevant parties
Provide logistical support for the TBL sessions to ensure smooth delivery of the classes
Organise monthly TBL facilitators’ meetings and recording of minutes
Procuring items required for Educational Development-related workshops or TBL sessions
Requirements:
A Diploma or Degree in any discipline
Preference will be given to candidates who have prior experience in the education and/or healthcare sector
Experience in scheduling/timetabling/events organising will be an advantage
This is a 6 months temporary contract.
