Job Description

The Executive, Student Services will work closely with the Manager and the Associate Director to plan, coordinate, organize, execute, and support activities and operations within Student Services unit. The Executive will operate in frontline/face-to-face capacity with students and campus constituents in a physical and virtual customer service role. The incumbent serves as a key provider of information and resources to students and the broader campus community.

 

Responsibilities:

  • Serve as the front-facing staff member at the information center both physically and virtually
  • Provide full support to student’s inquires (face-to-face, email, telephone and using the CRM)
  • Serve as the primary person managing inquiries in the CRM queues including but not limited to responding to inquiries, routing inquires as needed, providing the appropriate follow-up to inquires as needed.
  • Manage the student billing portfolio including but not limited to working/maintaining a strong relationship with NUS Office of Financial Services, campus partners and timely communication with students.
  • Manage the student insurance portfolio including but not limited to working/maintaining a strong liaison relationship with the two (2) student insurance providers.
  • Assist with the Student Pass for international students which may include communication, processing documents and travel to ICA.
  • Manage the e-newsletter (Student Updates) including working collaboratively with the executives from Dean of Students office, and the three residential colleges to ensure consistency in services and messaging to students on student matters.
  • Outreach to campus partners to update, manage, and maintain the unit’s website, the DoS online calendar, and resource tools/guide.
  • Assist in the preparation reports and presentations for meetings or events
  • Assist and participate unit projects, activities or events such as Student Welcome events, Family Engagement events, CRM development, Graduation Gown Management, and other events as needed.
  • Assist and participate campus and division activities and events such Orientation (Student and Family), Class Day, Graduation, and other events as needed.
  • Any other duties as assigned

Requirements
  • Bachelor’s degree
  • Candidates who possess a Diploma with significant relevant experience would also be considered
  • Demonstrated strong customer service orientation and experience
  • Front desk experience is highly preferred
  • Prior experience working in tertiary education and/or with tertiary students would be advantageous
  • Experience with general office software including but not limited to Microsoft Office, student information databases or customer ticketing/incident system
  • Ability to work with numerical and mathematical figures needed for student billing
  • Be initiative-oriented as well as meticulous
  • Ability to work independently while being a good team member
  • Be solution-orientated, proactive and motivated with excellent time management skills
  • Able to work in a dynamic and culturally diverse environment
  • Willingness to work evening and/or weekends as needed during peak times of the year such as opening, closing, orientation, open days and special events
