Executive/Senior Executive (Student Conduct Unit) - 00AMO 



Description

 

The incumbent reports to the Unit Head in-charge and works with minimal day-to-day supervision. Specific duties include:

 

1. Supervisory

 

Assist the Section/Unit Heads to supervise/manage co-opted teams of Officers and/or Support staff on projects and/or in daily operations.

 

2. Operational

 

A. Student Conduct Unit:

  • Conduct research for understanding Models of Management and Best Practices in other educational institutions and for Benchmarking of Policies and Protocol.
  • Assist the Unit Head in reviewing and modifying current workflows in partnership with units handling student discipline (Academic and Non-Academic) to streamline and improve efficiency in the management of student discipline;
  • Standardize and Implement protocols:-
    • Develop guidelines, templates and operarational manuals 
    • Periodically check for compliance of units handling student disciplinary matters with disciplinary procedures and disciplinary guidelines and report non-compliant practices;
  • Provide liaison and consultation for procedures: -
    • Facilitate the preliminary evaluation of disciplinary offences reported by Academic and Non-Academic Units by assisting them in interpreting the prevailing guidelines for student discipline and sanctions, and directing them to the respective disciplinary bodies for adjudication;
    • Liaise closely with partner departments/offices (viz. OSA, UHC(UCS), UCO, OLA) to ensure a high level of integrated and coordinated administrative support for managing student discipline;
  • Secretariat and administrative support for adjudication processes: -
    • Support to the Board of Discipline and the Disciplinary Appeals Board;
  • Assist and back-up in the set-up and management of database:-
    • Help develop workflows in partnership with units handling student discipline (Academic and Non-Academic) to maintain and archive student disciplinary records, in line with university guidelines and prevailing policies;
    • Assist with data management, collation; and
  • Provide conduct checks and reports for various programmes within and outside NUS.

B. Other Duties:

  • Prepare and/or revise all manner of documentation – e.g. work manuals, correspondences, publicity material (print versions as well as online versions on disciplinary-related website), standard forms, legal documents, reports (based on regular and/or ad hoc requests) etc – as are related to the scope of work.
  • Identify and e-file documents within work area which need to be officially archived in a timely manner.

3. Supportive and Rehabilitative

  • Play a key role in the management of the Holistic Programme for Students Discipline:-
    • Provide increased levels of communication and support for both victim and offender during adjudication process.
    • Development and continued implementation of supportive sessions for offenders post adjudication process.
    • Ensure compliance and fulfilment of rehabilitative programmes and sanctions.

4. Educational

  • Assist with and provide back-up for additional educational programmes that will:
    • provide staff with skills necessary in the management student disciplinary matters, and
    • educate the general student population on the fundamental values of integrity, respect, and responsibility.
  • Assist with the development and delivery of Prevention and Education talks for freshmen on student conduct matters and the NUS Code of Student Conduct;
  • Assist the Unit Head in working with partners within and outside NUS (viz. UCS, Rehabilitation Associates, Yale-NUS) in developing and running prevention and rehabilitative training programmes within NUS for staff managing student disciplinary matters;
  • Assist with coordinating the development and/or implementation of disciplinary-related educational modules or training programmes for staff and students as needed; and
  • Partner with other departments on engagement and outreach on student disciplinary matters.
 



Qualifications

 

  • Recognized university degree
  • At least 2-3 years of relevant work experience
  • Knowledge of / Experience in student counseling/discipline/development processes in a higher education environment preferred
  • Professional qualifications in counseling, dispute adjudication, conflict resolution will be an advantage
  • Experience in / Exposure to the following will be a definite advantage:
    • PeopleSoft Campus Solutions modules (viz. Campus Community, Student Records, Student Financials, Campus Self-Service, Academic Advisement) and Oracle CRM
  • Proficient in MS Office applications
  • Highly energetic, empathetic, and positive individual with a passion for excellence
  • Team player with good problem-solving and critical-thinking skills
  • First-rate communication and presentation skills
  • Resilient, resourceful, and work well under pressure
