Summary of Duties:

The Student Admissions Coordinator will oversee activities related to admissions and application processing, for students seeking entrance to the College of Nursing (CON). Those activities include  application tracking, evaluation of applications, and management of application data. The Student Admissions Coordinator will set up application cycles, assist interested potential applicants through the application systems, and transition candidates to the advisors of the appropriate programs upon admission to the program.

Job Duties:

45% Database Coordination

  • Manages the application database systems (WSU systems, NursingCAS, KiraTalent) for all academic programs within the college -  currently includes BSN, RN-BSN, MN, Certificates, DNP, and Ph.D. 
  • Generates regular reports for program leadership related to applicant and admissions data.
  • Assists in maintaining academic data systems, including data retrieval and reporting.
  • Reviews application data and provide trending data to assess success of College of Nursing marketing.
  • Liaison with Nursing CAS; providing feedback, discussing solutions, gathering information, and resolving issues.
  • Builds and implements the application process in the NursingCAS and KiraTalent database systems for each of the  College of Nursing degrees to include BSN, RN-BSN, MN, Certificates, DNP, and Ph.D. 

40% Admissions

  • Collaborates with Undergraduate and Graduate Admissions/Progression Committee to determine dates/deadlines for application cycles, published requirements, and application/review processes. 
  • Serves as a liaison and primary contact between applicants and the institution.
  • Serves as a staff resource to  Admissions committees and requests in the CON.
  • Responds to student issues and concerns in a timely manner through a variety of communication modalities.
  • Researches and recommends appropriate solutions to potential problems and concerns. 
  • Reviews and evaluates admissions applications. 
  • Manages the admission processes, including review/scoring of admission criteria, interview scheduling, and candidate ranking/selection. 
  • Manages online/remote orientation and preparation for first semester of the students’ academic program.   
  • Notifies applicants of acceptance/wait list/rejection decisions. 
  • Collaborates with advising staff, Office of Clinical Affairs, and program leads to facilitate student onboarding & enrollment into first semester of all academic programs.   
  • Serves as the Subject Matter Expert (SME) in regard to the admissions requirements for each of the various College of Nursing degrees to include all BSN, RN-BSN, MN, Certificates, DNP, and Ph.D.; respond to higher level questions and inquiries related to admission into these College of Nursing programs. 


10% Applicant Outreach

  • Counsels and advises prospective students on admission requirements, application processes, WSU services and assistance, and program logistics. 
  • Conducts information sessions and orientations for prospective and admitted students.
  • Builds relationships with schools, institutions, healthcare organizations and agencies, professional associations, and WSU organizations across the system to create strong partnerships that build the applicant pool and processes for CON academic programs. 
  • Collaborates with the college’s Communication team to support outreach activities across all academic programs. 


5% Other

  • Facilitates communication and promote a positive working relationship between Center for Student Excellence, Health Sciences, other campus personnel, and external partners.
  • Performs other job-related duties as needed. 

Required Qualifications:

High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.

Additional Requirements:

  • Program Specialty: Two years of experience in assistance, support, or coordination in admissions, advising, career counseling, financial aid, outreach, recruitment, and/or retention, or other similar activities in a higher education setting.
  • Strong computer skills including proficiency with MS Office Excel, Word, PowerPoint, Teams and Outlook.
  • Experience working in an institution of higher education.
  • Experience with Excel and other database programs.
  • Demonstrated skills in the areas of customer service; organization and attention to detail.
  • Ability to maintain positive working relationships with diverse groups.


Preferred Qualifications:

  • One year of experience in a health related setting or organization.
  • One or more years of full time professional experience with common application services (CAS) such as NursingCAS or PharmCAS.
  • Experience with application processing and evaluation. 
  • One year of experience working within a health sciences program. 
  • Demonstrated experience communicating various scenarios from positive to difficult to a diverse clientele.
  • Experience developing, maintaining, and/or using computerized record systems and information management. 
  • Ability to visualize and summarize data into meaningful information, and customize presentation to meet the needs of various stakeholder groups.
