Summary of Duties:

The Senior Clerkship Curriculum Coordinator manages the operationalization of the clinical experiences of the Clerkship (Years 3 and 4) medical students. The Clerkship Curriculum Coordinator will work closely with the Clerkship Director, the regional Campus Associate Deans, and the Campus Years 3 and 4 Coordinators to provide strategic oversight of items such as course approvals, scheduling of student learning experiences and ensuring longitudinal integration of the curriculum. The incumbent will triage student, faculty and staff concerns and focus attention on the comparability of the learning experiences at the various clinical campuses. The Clerkship Curriculum Coordinator will review the Clerkship curriculum and continuously assess for areas of improvement, have independent day-to-day oversight of the policies and procedures of the Clerkship Curriculum, and will implement action plans as needed to align with accreditation requirements and best educational practices. This role will be supervised by the Manager, Office of Curriculum and provide supervision for the Year 3 and Year 4 Curriculum Specialists, with delegated authority to function as second in command to the Manager.

This full time position's base office is located in Spokane, WA; however a remote work accommodation may be available.

Duties and Responsibilities

30% Operation Management

  • Manages the operations to implement the Clerkship years of the curriculum in collaboration with the Clerkship Curriculum Director, Pre-Clerkship Curriculum Coordinator and Assessment team to ensure integration, alignment and consistency over all four years of the curriculum.
  • Manages the curriculum implementation at the four clinical campuses to ensure curriculum and assessment alignment for all learning events (academic half day, clinical experiences, etc.). Identifies inconsistencies, proposes solutions and implements action plans to resolve.
  • Provide cross-coverage for the pre-clerkship Curriculum Coordinator and subordinates.
  • Acts as the primary point of contact for faculty course directors to provide guidance and operational support relating to course development and delivery in the Clerkship curriculum.
  • Prioritizes and assigns tasks to the Curriculum Specialists; Evaluates external and internal feedback; Adjusts priorities as needed.
  • Manages the Clerkship course building and registration process for 160 students with individualized schedules. 
  • Designs, develops, and maintains the Clerkship Standard Operating Procedures in consultation with the Curriculum Office Manager and Clerkship Curriculum Director.
  • Serves as primary point of contact for Year 4 independent course inquiries, troubleshooting and monitoring mid-course check-in progress. 
  • Facilitates the Faculty Senate course approval process for courses developed or revised for the Clerkship curriculum of the MD program; ensure relevant stakeholders are apprised of the process status.
  • Provides oversight of the Course Building process in MyWSU performed by the Curriculum Specialists. Serves as back up when required and proposes solutions to issues as they arise. 
  • Oversees Clerkship information gathering via Qualtrics executed by the Year 3 and Year 4 Curriculum Specialists.  
  • Maintains knowledge of all learning resources and technologies to meet the needs of Clerkship students.
  • Serves on and/or chair committees/task forces for Curriculum related programs, initiatives and activities. 

30% Project Implementation

  • Designs, develops, and oversees special projects within the Clerkship curriculum as needed (progress reports, catalog projects, rotation guides, etc.)
  • Identifies training needs and shares feedback with Faculty Development unit. Consult on the development and participate in training for small group facilitators, faculty, and staff in workshop or seminar settings.
  • Reviews, creates, implements, and monitors multi-stakeholder collaborative syllabi management process to comply with WSU, LCME, and AAMC requirements. Includes reviewing course objectives, ensuring alignment with assessment, assigning instructional faculty and approval within multiple College of Medicine committee timelines.  
  • Serves as a resource to gather information and assist with special projects for faculty and directors.
  • Supports the Clerkship Curriculum Director in developing and implementing action plans to overcome challenges of physician and site recruitment.

25% Quality Assurance

  • Monitors course implementation in consultation with the Clerkship Curriculum Director and Office of Assessment, and synthesizes monitoring information and makes recommendations for continuous quality improvement processes.
  • Performs continuous quality improvement by auditing the curriculum team’s work to include learning events in E.Flo MD, student communications, syllabi maintenance, course pages updates, and publication.
  • Identifies or utilizes data to determine causes of delays or barriers to the student/faculty experience, propose solutions, and executes the improved process.
  • Ensures compliance with College regulations, College policies and procedures, and state and federal requirements pertaining to curriculum.
  • Promotes best practices in teaching and learning with faculty and staff by utilizing relevant and current education and learning research.
  • Supports course teams in the implementation of CQI efforts based on course and instructor evaluations.
  • Oversees in collaboration with the Pre-Clerkship Curriculum Coordinator and the Clerkship Curriculum Director the design, development, revision, and maintenance of curriculum documents that support alignment between curriculum and assessment across four years.
  • Establishes and maintain annual review calendar for course content review, design, and processes for Clerkship curriculum. Ensure reviews occur in a timely manner to promote continuous quality improvement.
  • Updates and distribute quality control standard operating procedures.
  • Maintains electronic files and records in compliance with university record retention policies and procedures.

10% Supervision

  • Supervises, trains, and evaluates Curriculum Specialists. Monitors progress, provides feedback, and assists Curriculum Specialists in establishing individual work goals and strategies.
  • Conducts performance evaluations within established timelines for Civil Service and Administrative Professional employees as applicable; works with Human Resource Services (HRS) to address performance and behavioral concerns.
  • Manages recruitment, hiring, and onboarding processes which include position description design and development, chairing search committees, and candidate communication.
  • Maintains applicable Office of Curriculum personnel records.

5% Other

  • Perform related work as required. 

Required Qualifications:

A Bachelor’s degree in a field relevant to area of specialization and three (3) years of experience directly related to the specialty area. Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

Additional Requirements:

  • Graduate degree in Education, Curriculum, Instructional Design, Leadership, Organizational Development, Business Administration, Biology, Social, Physical, Health Sciences or other field given context of work experience and/or other qualifications. Relevant experience may be substituted for degree requirement.
  • Specialty: three (3) years of work experience in instructional design, curriculum, instruction, education, health sciences, business or office operations or administration or other field given context of work experience.
  • Outstanding verbal and written communication skills, including listening skills and experience with constructive feedback conversations that support learning and growth.
  • Demonstrated experience independently reviewing information, identifying problems/concerns; subsequently developing, proposing and implementing solutions to resolve.
  • Demonstrated experience leading teams of people to achieve desired outcomes, including facilitating collaboration, creating an inclusive environment, and managing conflict.
  • Demonstrated experience with records or data management systems such as learning management systems, electronic health record systems, human capital management systems, customer relationship management systems, or similar platforms.
  • Experience utilizing Microsoft Office products such as Outlook, Word, Excel, and PowerPoint.
