Summary of Duties:

Real Estate and Business Operations (REBO) seeks a Contracts and Real Estate Assistant to join its team. The successful incumbent will be responsible for providing clerical, administrative, finance, data entry, and customer service support regarding a variety of contractual and real estate needs.
Specific duties include: monitor, maintain, and serve as a point of contact for real property agreements; maintain contract records, legal documents, and contracts databases; assist with interpreting administrative regulations and policies to staff within the institution and outside agencies; perform accounting duties; and provide intake and data entry support.

Incumbent must be able to effectively organize and prioritize heavy workloads; use sound independent judgment in problem solving; maintain accurate and up-to-date records; and interface with university staff and the public in a helpful and professional manner. Problems are resolved by choosing from established procedures and/or devising work methods.

Required Qualifications:

High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience.

Preferred Qualifications:

  • Demonstrated proficiency with Microsoft Office software including Word, Excel, PowerPoint, Adobe and Outlook.

  • Experience maintaining or working with confidential information.

  • Excellent communication skills, both written and oral.

  • Experience working in professional office setting.

  • Experience working with database software.

  • Experience with electronic and hard copy record keeping and maintenance.

  • Experience proofreading, editing, formatting and/or preparing documents.

  • Experience providing reception duties, such as, answering and routing phone calls and sorting mail.

  • Knowledge of contract documents and records.

  • Experience proofreading, editing, formatting and/or preparing complex legal documents.

  • Real Estate and/or Legal experience.

  • Experience with WSU’s mainframe application systems.

  • Experience working in higher education.

  • Working knowledge of WSU’s business policies and procedures.

  • Possession of, or ability to obtain by time of hire, a valid driver’s license.
