Position Details:

Summary of Duties:

The Operations Assistant organizes and coordinates the work and various functions within gift accounting, supports the director and assistant director, and collaborates with WSU Foundation leadership, development staff, other internal/external staff and donors regarding contributions to Washington State University. This position is responsible for overseeing operational processes in support of the Director and Gift Accounting team to include (but are not limited to): triaging of requests for assistance, the creation of meeting agendas and minutes, project and training documentation, management of the team’s Sharepoint site, and budget and purchasing card reconciliation. This position serves as backup to the Director and Assistant Director when they are out of the office, and is responsible for higher level project management of gift processing functions in such areas as data management and reporting, coordination with the Department of Licensing, liaising with all stock brokerage accounts and monitoring share status, managing the official tax receipt process (both annual and daily), and ensuring that all processes are complete each month for the endowment. This person must exercise independent judgement, demonstrate a high level of confidentiality and initiative in performing the described duties.


Required Qualifications:

High School graduation or equivalent AND three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work; OR equivalent education/experience.

Additional Requirements:

  • Ability to work independently, while still being a collaborative team player. 

  • Experience maintaining confidentiality while working with sensitive data. 

  • Close attention to detail and accuracy in producing deliverables. 

  • Excellent verbal and written communication skills.

  • Demonstrated strong customer service skills.

  • Strong skills with computer software, such as Microsoft Office Word, Excel, and Outlook.


Preferred Qualifications:

  • Experience in retail and/or banking.

  • Experience in higher ed finance and/or gift accounting.
