Summary of Duties:

This position coordinates the day-to-day of Registered Student Organizations (RSOs) engaged in campus involvement and community engagement activities and events. The coordinator also provides key advisement to Registered, Student, Organizations in the areas of organization advising, leadership, community engagement, diversity, professional development, and event coordination. 
 
The Coordinator provides oversight for the student fitness center, campus pantry, the service and involvement management systems (Presence), and supports campus events, specifically those focused on involvement. This role provides guidance and liaison to student leadership to work collaboratively with Student Affairs staff. 

Essential Duties:

ELC Spokane/Yakima RSO Coordination - 40%

  • Serve as the logistical resource person for Spokane and Yakima Registered Student Organizations (RSO) for events, programs, etc. related to campus involvement, community engagement, and diversity. 
  • Assists students with coordinating arrangements for student body meetings, special events, extracurricular activities. This may include campus room reservations, lodging and travel for invited guests, food for the event, etc.  
  • Works collaboratively with the ELC Program Coordinator to help with expenditures and budgets for Registered Student Organizations (RSOs) and tracks Registered Student Organizations budgets through the finance component in Presence. Work with student clubs to ensure that funds are available for use. Assist student clubs with balancing their budgets and projecting funds available over the fiscal year.  
  • Advises Registered Student Organizations on policies and procedures related to student organization activities, membership, community engagement, Diversity and Student Affairs resources, and use of campus resources.  
  • Coordinates and communicates regularly with and serves as a resource to Registered Student Organizations faculty advisors to ensure continuity and consistency across academic years.  
  • Provides advice and training to Registered Student Organizations for events, programs, and activities including, but is not limited to, contract development, community engagement affiliation agreements, vendor agreements, community partnership process, expenditure and compliance with University policies and procedures including S&A Fee expenditures, and S&A Fee requests.  
  • Plans and coordinates fall campus involvement fair each year by engaging all the Registered Student Organizations and various Student Affairs’ areas.  
  • Assesses Registered Student Organizations activities and events for potential liability issues and establishes plans to mitigate risk. Apprises the Director of Student Equity, Leadership, and Community of major concerns or risks.  
  • Applies discretion to approve or cancel activities and events to ensure safety and welfare of students. 
  • Creates avenues for student participation in clubs through regular communication channels and promote opportunities that increase exposure of Registered Student Organizations on campus.  
  • Facilitates registration process and orientation for new Registered Student Organizations to the areas of involvement, community engagement and diversity.  
  • Reviews and updates the Registered Student Organizations Policy Manual and related documentation to accurately reflect the policies and procedures relevant to the Spokane and Yakima campuses.  
  • Develops and maintains management systems and supplemental resources to streamline Registered Student Organizations operations and assist with transitions in leadership including the request process for fall startup funding.  
  • Collaborates with the Student ELC Coordinator for the Registered Student Organizations purchasing card reservation process for and Registered Student Organizations budget updates.  
  • Develops official communications and documents relating to student organizations and oversee the development of recordkeeping system to ensure continuity and consistency across academic years.  
  • Develops a system to track and maintain student and advisor contact information. 
  • Implements Registered Student Organizations training every fall and spring semester related to campus involvement, finance, space reservation, community partner affiliation agreement, Risk and Release of Liability documents, reflection experiences, diversity resources. 

U-Fit & Spokane/Yakima Campus Pantry Coordination - 25%

  • Hire, train, and supervise U-Fit and Campus Pantry student employees. Evaluate staff performance, provide coaching to staff, and make recommendations for counseling/corrective action as needed.  
  • Maintain and encourage a safe and effective facility by developing and implementing processes and procedures that are in line with university policy and procedure that promote proper exercise technique (U-Fit), handling of foods (Campus Pantry), and safety.  
  • Oversee daily, weekly, and monthly cleaning, inspection, and upkeep of exercise equipment (U-Fit) and shelves (Campus Pantry) by student workers.  
  • Manage inventory and stocking of facility essentials (i.e. U-Fit: first aid kits, cleaning equipment, hand towels, etc. | Campus Pantry: dried food items, fresh produce, cleaning supplies, first aid kits, etc.)  
  • Collect, maintain, and report monthly facility usage data. Submit monthly usage reports to supervisor.  
  • U-Fit: Liaison with manufacturers or distributors for ordering and equipment maintenance/repair. 
  • Campus Pantry: Advises and helps develop the Yakima campus pantry.  
  • Manage advertisement and marketing of both U-Fit and Campus Pantry, as well as communication with guests inquiring about the facilities.  
  • U-Fit: Pair guests with appropriate student staff members based on goals and other determining factors (e.g. If a participant is very interested in endurance training, pair them with a staff member who has similar interests).  
  • Review and ensure that staff members are competent and trained appropriately for work, and support and teach staff members when necessary.

Spokane/Yakima Presence Software Coordination - 20%

  • Administers Presence software to include development and maintenance of tracking systems for the Student Affairs office and the Budget and Finance office to collectively organize and monitor Registered Student Organizations purchases, event management, and attendance rates.  
  • Works with the Assistant Director of Equity, Leadership, and Community to implement Presence on campus and increase usage of the system for student engagement.  
  • First point of contact for Spokane and Yakima registered student organizations (RSOs) with questions about the Presence. And, serve as a backup for questions related to the Give Pulse system.  
  • Answers questions about Presence and general questions about Give Pulse for other campus groups.  
  • Manages campus event approval process for Registered Student Organizations and Student Affairs using the Presence software.  
  • Collaborates with campus scheduling to ensure Registered Student Organizations scheduling works effectively through the Presence process.  
  • Partners with the Finance Office and the ELC Coordinator to update Presence budget information for Registered Student Organizations.  
  • Follow data-collection schedules, where established, and develop schedules as needed. 
  • Identify and implement interventions that improve outcomes and drive performance across student-led programs.  
  • Troubleshoot software problems, communicate with licensor and assist with visioning new functionality. 

Student ELC Events | Involvement - 10%

  • Works with the Assistant Director of Student Equity, Leadership, and Community for campus events that benefit a large number of students. 
  • Supports campus orientation as primary backup.  
  • Helps coordinate the implementation of involvement events such as Campus BBQs, Cougar Dash, Healthy U, Registered Student Organizations, Leadership opportunities/programs, Winter Formal, and Leadership training for student staff.  
  • Helps promote diversity center, involvement, and community engagement events to Registered Student Organizations. 

Other - 5%

  • Other duties as assigned.

Required Qualifications:

High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.

Additional Requirements:

  • Program Specialty: Two (2) years’ experience coordinating student activities/programs, community engagement programs, new student programs or closely related experience, in a higher education setting. 
  • Demonstrated ability to coordinate multiple activities. 
  • Demonstrated commitment to and experience successfully advocating for holistic wellbeing, diversity and the values of diversity. 
  • Experience with MS Office Suite, including Word, Access, Excel, and Outlook.


Preferred Qualifications:

  • Bachelor’s degree in Higher Education Administration, Counseling, Student Personnel, related area is highly desirable. 
  • Previous experience with Washington State University, or in higher education working with policies and procedures. 
  • Experience with event planning/programs for student organizations. 
  • Experience with university fitness center and/or wellness education. 
  • Experience supervising student staff. 
  • Demonstrated ability to work effectively with individuals of different ages, backgrounds and levels of experience, including students and faculty.
