Summary of Duties:

Under general direction, perform work using knowledge related to Talent Search grant requirements. Exercise judgment in interpreting and applying Department of Education grant regulations and policies, university policies and procedures, and relevant federal and state laws. 

Advise students, staff, school personnel, program participants, and the public regarding Talent Search program content, policies, procedures and activities. Includes program administrative support for the Talent Search program and Talent Search Manager.

Essential Duties:

Program Support - 50%

  • Monitors general Talent Search email account.
  • Attends meetings as a program representative.
  • Maintains Talent Search webpages.
  • Manages scheduling of rooms for programs and activities.
  • Responsible for the management of student files, including documentation of services provided based upon program guidelines. 
  • Participate in staff meetings, in-service programs, workshops, other professional development activities, and other duties as assigned.
  • Conduct presentations about Talent Search to school personnel and students.
  • Monitors Talent Search program activities within grant parameters and goals.
  • Collaborates with Manager and Academic Advisors to promote the program and recruit students. Assists with developing marketing materials. 

Database Support - 25%

  • Responsible for the management of student files, including documentation of services provided based upon program guidelines. 
  • Administers database program to include development and maintenance of tracking systems based on grant parameters. 
  • Maintains confidential student information.
  • Generate reports according to grant deadlines and requirements. 
  • Troubleshoot software problems and communicate with company representatives to resolve problems.
  • Develop all forms within the system to capture student data. 

Budget and Fiscal Support - 20%

  • Serves as point of contact for all fiscal processes related to the Talent Search program including purchasing, travel, registrations, account transfers, etc.
  • Reconcile the purchasing card for Talent Search including filling out and submitting for exceptions, expenditures, transfer requests, departmental requests, and other items.
  • Monitor Talent Search budget to ensure expenses are in line with grant regulations and restrictions. 
  • Notify Talent Search Manager of any issues detected concerning budget and purchasing.
  • Creates and completes invoice vouchers, department orders, IRI, etc.
  • Receive and route to finance department all incoming invoices and bills from outside vendors.
  • Track and reconcile all travel and program expenses.
  • Prepare and submit Travel Expense Vouchers for reimbursement. 
  • Reconcile budget and investigate and solve discrepancies. 
  • Work directly with the WSU Spokane Office of Finance on fiscal management.
  • Maintain and purchase office equipment and supplies. Orders office supplies and ensures appropriate supply levels. 

Other - 5%

  • Perform other job-related duties as needed.

Required Qualifications:

High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience.

Additional Requirements:

  • Experience with MS Office Suite
  • Demonstrated experience working with diverse populations. 


Preferred Qualifications:

  • Demonstrated experience working in an environment requiring high attention to detail.
