Summary of Duties:

The Administrative Assistant 3 organizes and coordinates the work and various functions within gift accounting, supports the director and assistant director, and collaborates with WSU Foundation leadership, development staff, other internal/external staff, and donors regarding contributions to Washington State University. This position coordinates work flow, oversees gift/pledge modification processes, oversees requests for appeal codes, manages special projects, and act on the behalf of the Director and Assistant Director; while providing support for day-to-day operations and administrative functions. The Administrative Assistant 3 is responsible for managing the flow of information between development staff and donors, and serves as a liaison between gift accounting and other offices within WSU. This position communicates with donors regarding gifts and pledges including obtaining additional gift support and other confidential information as needed. Provides technical support related to internal controls, acceptance, receipt, and acknowledgement of various transactions for cash, checks, bankcards, noncash, services, wire transfers, electronic funds transfers, payroll deductions, third-party vendor transactions, matching gifts, donor advised funds, IRA distributions, stock transfers, no-money transactions, and outside unit bankcards. This position is to maintain regular contact with various internal/external constituencies; assist in the supervision and training of temporary workers and support staff; and exercise independent judgement, demonstrate a high level of confidentiality and initiative in performing the described duties.


Required Qualifications:

High School graduation or equivalent AND three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work; OR equivalent education/experience.

Preferred Qualifications:

  • Cash handling and some experience working in a fundraising environment with alumni/donor records, IRS rules, CASE guidelines, is preferred. 

  • Experience in managing multiple projects/tasks and keeping pace with rapidly changing priorities and deadlines. 

  • Demonstrated proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook Express. 

  • Ability and commitment to maintaining a high level of confidentiality. 

  • Demonstrated communication, organization and problem solving skills. 

  • Demonstrated experience requiring a high degree of accuracy and attention to detail. 

  • Strong analytical and typing skills required.
