The Opportunity

The Zone Manager, Custodial Services engages in high-performing leading-edge practices, valuing people, partners, and stewardship.  The incumbent is responsible for coordinating and overseeing the Custodial Staff in a group of campus buildings, ensuring all standards, processes, systems, and staff are aligned to properly maintain housekeeping services to industry, state, and university standards, policies, and guidelines.

Responsibilities:  

  • Ensure all standards, processes, systems, and staff are aligned to provide reasonable assurance that unit operations are effective and efficient, unit assets are safeguarded, unit financial information is reliable, and the unit complies with applicable laws, regulations, standards, policies, and procedures.

  • Manage work orders and ensure data entered in the Integrated Work Management System (IWMS) is accurate, zone schedules are coordinated appropriately, and resources to services align with all work requests, event needs, pest control, and projects. 

  • Analyze the status of schedules and forecast staff availability.  Analyze and categorize work backlog by priority level and assign appropriate staff required for work completion.

  • Maintain and adhere to scheduled completion dates with a prioritized productivity level documenting any discrepancies. Ensures appropriate rotation of project schedules to meet proper product standards and maintenance levels.

  • Review electronic and/or hardcopy work plans for completeness and accuracy, including specifications, drawings, and manuals to ensure processes and services produced by the organization meet current standards and adhere to the process guide, increase maintainability, and ensure compliance with enacted policies, regulations, or laws.

  • Inspect zone work and/or contractor work for completeness, fulfillment of the identified scope, and general quality of workmanship while complying with the work management process.

  • Facilitate customer work review meetings through the use of planning and scheduling documentation and progress reports. Ensure customer requests and concerns are resolved in a timely manner.

  • Function as liaison between customers and service providers.  Provide leadership with data to improve the ratio of planned work to unplanned work.

Minimum Qualifications:  

High School Diploma or Equivalent and 4+ years of relevant experience.

Preferred Qualifications

  • Ability to assess appropriate skill level to task to provide the most cost-effective service.

  • Ability to assess material needs, order, and sustain accurate and sufficient inventories. Ability to interpret and prepare reports, inspections, and documentation pertinent to the unit.

  • Ability to understand, communicate, apply, and enforce guidelines, regulations, and policies.

  • Ability to understand and use guidelines and policies during work planning.

  • Demonstrated use of commonly used computer programs such as Microsoft Project, Microsoft Office, and the IWMS in implementing workflow processes.

  • Demonstrated ability to accurately interpret and use facility contracts applicable to the task.

  • Demonstrated ability to maintain confidentiality and address sensitive matters appropriately and efficiently.

  • Demonstrated ability to ensure that work productivity and service meet quality assurance standards.

  • Experience in large complex organizations with exposure to facility management and a team cleaning environment.

  • Experience with interpreting floor plans and material specifications for a recommendation, as well as follow-up maintenance of building materials, furnishings, finishes, and equipment.

  • Familiarization with safety rules and regulations, standard operating procedures in the industry, and trade work.

  • Knowledge of practices and procedures, including proper chemical solutions, for carpets, hardwood, and VCT/LVT, tile, terrazzo, and other floor care trade.

  • Excellent communication, interpersonal, and customer service skills in English in order to: work effectively with customers and supervise team members; operate and demonstrate the functions of the electronic equipment and tools to staff members; comprehend and describe standard safety procedures to staff members; and utilize communication devices.

  • Proven ability to analyze budgets pertaining to facility service organizations or maintenance organizations.

  • Prior use and interpretation of maintenance or facility housekeeping union contracts and vendor contracts applicable to task assignments and schedule efficiencies.

  • Previous work in resource load balancing with short- and long-term planning in a maintenance organization.

  • Working knowledge of trades classifications and functions including tools, chemicals, and materials, and task-specific sequencing required in sanitation and repairs for maintenance and housekeeping.

The UCF policy requires completion and passing of a physical exam for this position.

Position requires a valid Class E driver’s license. The position may involve driving to various locations on and off campus to conduct University business.
