Position Summary
This recruitment will be used to fill future part-time (a maximum of 20 hours per week) Student Clerical Assistant position for the Wood Science and Engineering Department at Oregon State University (OSU).
This position provides departmental assistance to the Administrative Manager in the Wood Science & Engineering office by assisting with office coverage and basic clerical duties; assisting faculty and staff with projects, and assisting with program operations and other special events.
Position Duties
80% Office Assistance:
  • Answer phones and department office reception
  • Keep main office clean and update department signage, photo board, mailboxes and copier, as necessary.
  • Pick up and sort mail; prepare outgoing mail. Deliver and pickup documents as needed. Keep mailroom clean, stocked, and vacuum as necessary.
  • Create, print, copy, scan, fax, format and file documents.
  • Assist with editing and/or archiving files.
  • Create labels for physical files, store digital documents, and update & distribute department directory.
  • Maintain inventory, order, and restock office supplies.
  • Assist with recycling requests and surplus submissions.
  • Create or enter data into excel spreadsheets.
  • Reserve conference and meeting space for faculty, staff, and students.

10% Faculty and Staff Assistance:
  • Assist with creation and/or editing of digital and video files.
  • Reserve field equipment for instructors.
  • Prepare & maintain equipment for field trip tours.
  • Assist with room setup needs, including moving tables and chairs.
  • Clean out offices and organize storage areas as needed.
  • Keep break room clean and free of perishable foods.

10% Event Assistance:
  • Prepare participant welcome packets.
  • Post signs and posters for special events as requested. Remove old outdated signs and posters as needed.
  • Distribute and collect attendance sheets and various materials.
  • Distribute supplies and/or packages to various offices/buildings and labs as directed.
  • Print name tags, signs, and flyers for special events.
  • Assist with mailing lists, mass mailings, and distribution of other promotional materials.
  • Print, compile, and assemble documents for classes, workshops, and/or special events and projects.
  • Assist with various student and recruiting events. Event set up and clean up as needed.
  • Load and unload transportation vehicles as needed. May involve driving motor pool vehicle.
Minimum Qualifications

Additional Required Qualifications
  • Previous clerical experience
  • Basic knowledge of office equipment (computer, copier, printer)
  • Basic knowledge of Microsoft Office Suite – Outlook, Word, Excel
Preferred (Special) Qualifications
  • Previous experience in customer service
  • Previous experience with conferences or events
  • General technology skills (media equipment, zoom, projector, conference phones, etc.)
  • A demonstrable commitment to promoting and enhancing diversity
