Carnegie Mellon University’s work is at the heart of vital, forward-looking international and domestic policy questions being decided in Washington, D.C.  The Carnegie Mellon Institute for Strategy and Technology (CMIST) is the university’s home for the teaching of Political Science and International Relations. The person who assumes this important position will run and support the teaching, convening, and other activities at CMIST’s picturesque Capitol Hill-located Washington Center. 

With both an academic program and a think-tank element, CMIST is a university-wide institute devoted to the wise development, use, and governance of new and emerging technologies (such as artificial intelligence, robotics, biotechnology, and quantum computing) that are changing the national and international security landscape.  CMIST ties the university’s strengths in computer science and engineering together with its distinctive tradition of collaborative, cross-university, cross-disciplinary research, in order to build new frameworks for managing current and future global security challenges. 

CMIST administers the Carnegie Mellon University Washington Semester Program (CMU/WSP), which provides undergraduate students from any CMU department the opportunity to live, intern, and study in the nation's capital. CMIST is also in the process of expanding the teaching program to include a new Master’s degree that includes coursework and internship experiences for graduate students in Washington, DC.   During the day, students gain real-world experience with an internship. At night, they take classes with policy-active, experienced Carnegie Mellon faculty, who help students gain the knowledge, experience, and skills to chart exciting careers and make a difference.  CMIST is currently in the process of developing executive education opportunities out of the Washington Center. 

The Washington Project Administrator’s core responsibilities include:

  • Manages the operations of the CMIST Washington, DC, center office.
  • Coordinates office contracts and vendor agreements including student housing (WIHN), student transportation (WMATA), student health services (One Medical), CMU-DC office space needs and improvements (United Methodist Building), classroom speaker agreements and honoraria, technology support, and event catering.
  • Coordinates, welcomes, and tracks visitors to the DC office and works with partners in the DC operation. 
  • Supports students’ personal and professional development by planning innovative opportunities for students to explore Washington, DC.  They will know Washington, DC, well and will be enthusiastic about sharing local knowledge, arranging, and leading co-curricular activities such as visits to the White House, the Supreme Court, the Smithsonian museums, the Library of Congress, relevant embassies, think tanks, and news media outlets.
  • Supports the admissions form processes for applicants to the CMU Washington Semester Program, the graduate program, and the Summer Friedman Fellowship program. 
  • Supports CMIST event planning and execution in the Washington, DC, office and serves as a social host. Event and program planning includes opportunities for undergraduate students, graduate students, and coordination of executive education schedules.
  • Facilitates professional networking opportunities, student intern gatherings, and other Washington Center-based events. 
  • Works to expand alumni networks by managing the alumni database, and planning student-alumni events and receptions in Washington, DC.
  • Supports administrative, scheduling, technical, and travel needs of CMIST senior administrators, faculty, and staff in the Washington Center. In addition, will support the financial needs in the Washington Center including reimbursement requests, expense reports, procurement card transactions, and purchase orders. 
  • Performs related duties and projects as assigned.

The Project Administrator should have strong organizational and planning skills, oral and written communication skills, time management skills, and prior administrative support experience. This position will regularly handle sensitive information and requires maintaining strict confidentiality and discretion. This person should have strong interpersonal skills and the ability to work collaboratively in a team environment. The Project Administrator is required to exercise independent judgment and decision-making in order to execute seamless and effective programming and office management.

Qualifications:

  • Bachelor’s Degree required. Master’s Degree preferred.
  • Approximately three to five years of administrative work experience, with preference for work in an academic, corporate, or government environment.
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Additional Information:

  • Location: This position is based in Washington, DC.
  • Travel Requirements: This position will require regular travel around the city and occasional travel to the Pittsburgh campus.
  • Work Schedule: Some evening and weekend work will be required. The Washington, DC, courses occur in the evenings and therefore, this position will share responsibilities for covering evening classes.  Flexibility in work schedule is essential.
  • Wage Transparency Requirements: In accordance with the pay transparency legislation set forth by Washington, DC, the corresponding salary range for this position, if placed in DC is between $57,860.00 – $78,025.00.
