Job Function:

The Oklahoma Registry Certificate of Achievement Stipend and Wage Supplement Program Technicians are responsible for providing clerical support to the Stipend and Wage Program Counselors, and customer service support to child care providers in licensed child care facilities. The Technicians will receive applications and documents and will process incompletes and denials. The Oklahoma Registry Certificate of  Achievement Stipend and Wage Supplement Technician reports to the Project Lead. 

Responsibilities:

  • Process applications and required documentation.
  • Review applications for completeness and contact applicants regarding missing information.
  • Add/Update participant information in database as needed.
  • Input applications and supporting documentation along with process notes into database.
  • Keep accurate records of all contacts and enter a summary of discussions with participants in the database notes.
  • Assist applicants and participants with questions regarding program requirements.
  • Maintain Excel database that contains participant and application information.
  • Meet application processing and performance reporting deadlines according to established guidelines and procedures.
  • Maintain physical and digital filing systems for documentation.
  • Participate in scheduled team and center-wide meetings and required OU Outreach events.
  • Submit time certification and distribution forms every two weeks.
  • Perform other related duties as assigned.

Risk Management

  • Follow established confidentiality and data security procedures.
  • Follow established safety procedures to protect the health and safety of personnel and property.
  • Follow established procedures to safeguard center-issued or checked out cell phone, laptop/tablet or PIKEPASS tag, including maintaining a password protection lock on the center-issued cell phone, and follow procedures for maintenance and return of all items.
 

Job Requirements

Required Education and Experience: High School Diploma or GED, AND:

  • 12 months of office, clerical, or administrative support experience.

Skills:

  • Ability to speak, read and write clear, concise English.
  • Ability to accurately read and understand written materials and instructions.
  • Proficient in Microsoft Office and general knowledge of computers.
  • Must be detail oriented for accuracy of data and information.
  • General office and customer service skills.
  • Ability to work independently and work as a member of a team.
  • Ability to complete tasks in an efficient and timely manner.
  • Ability to work in stressful situations with a high-volume workload.
  • Ability to multi-task, be highly organized and self-motivated.

  • Ability to engage in repetitive motions and grasp objects with fingers or hands.
  • Ability to speak, including expressing oneself or exchanging information with others.
  • Ability to see, including color, depth perception and clarity.
  • Ability to lift 30 pounds.

  • Ability to stand, stoop, bend and reach.

Departmental Preferences:

  • Knowledge of Oklahoma Professional Development Registry.
  • Knowledge of Oklahoma Child Care Licensing Requirements.
  • Knowledge of Oklahoma Reaching for the Stars program
  • Experience in professional development systems and/or stipend programs.

Supervision:

  • No supervisory duties
