Description
Job Title: Volunteer & Outreach Manager Department: Administration Classification: Full-time, 40 hours per week, hourly, non-exempt Job Relationships: Reports to the Executive Director (ED). Works closely with the Animal Care Supervisor (ACS), Animal Care Coordinators, the Education & Front Desk Coordinator, and other departments to meet the organization's volunteer needs. Position Summary: Manages the volunteer and internship program, including; recruitment, orientation, training, scheduling, and evaluation/performance. In collaboration with the Education & Front Desk Coordinator, ensures quality Education and Outreach programs are delivered to the community. Supports fundraising efforts and Greenwood (GW) events. Essential Duties and Responsibilities: Volunteer & Internship Program (80%) Development, Recruitment, and Training - Develops, implements, and evaluates Greenwood's Volunteer and Internship program to ensure its constant improvement and effectiveness. - Recruits, trains, and supervises the seasonal Volunteer Program Assistant Intern. - Ensures GW's Volunteer and Internship program is inclusive, diverse, and is led with respect, integrity, and compassion. - Develops and implements retention, appreciation, and engagement strategies for volunteers/interns. - Collaboratively assesses the needs of the organization's different departments and recruits volunteers/interns to support GW's services and mission: Animal Care, Administration, Facility, Education & Outreach, Fundraising & Events, and Community Service. - Assists the Education & Front Desk Coordinator in recruiting/training Transport & Release, Front Desk, and Education volunteers. - Conducts orientation and coordinates appropriate training/mentoring for all volunteers and interns. - Works with the ACS to develop and maintain volunteer/intern animal care training materials. - Builds and maintains the weekly volunteer/intern AC schedule, and resolves absence/coverage needs. Supervision, Performance Appraisal, and Safety - Ensures volunteer/intern supervision, performance appraisal, feedback, and termination; addresses complaints and mediates conflicts related to volunteers/interns/staff. - Reviews and collects all injury and accident reports regarding volunteers/interns; identify ways to reduce risks/improve training, facility safety, or remedy non-compliance with protocols. - Maintains and enforces GW's policies/protocols pertaining to the Volunteer and Internship program. Communication and Administration - Promotes GW's volunteer opportunities through internal and external communications, outreach events, social media posts, and other news media alongside the Community Relations Coordinator. - Maintains the Volgistics volunteer/intern database records. Creates and publishes a weekly newsletter to relay consistent information to volunteers/interns. - Collects all information regarding unlicensed individuals (AC volunteers/interns) training records and reports to Colorado Parks and Wildlife (CPW) annually. - Updates the information pertaining to the Volunteer department on GW's website. - Prepares college credit application paperwork and written recommendations for volunteers/interns. - Prepares and submits the Volunteer department budget/projected income to the ED. - Creates monthly reports for the Board of Directors. Education & Outreach Program (15%) - Manages the response to the Education & Outreach requests submitted by community partners; assigns requests to volunteers and to the Education & Front Desk Coordinator when appropriate. - In collaboration with the Education & Front Desk Coordinator, manages the development, implementation, evaluation, and improvement of Greenwood’s educational program. - In collaboration with the Education & Front Desk Coordinator, maintains Greenwood’s Education & Outreach lessons, presentations, and activities for local schools, community youth, and civic organizations; conducts appropriate research for new material. - Ensures that GW's program is aligned with the requirements of program participants and encourages the public's awareness and appreciation of the environment and our local wildlife. - Reaches to organizations, and the public to increase GW's presence in the community. - Alongside the Education & Front Desk Coordinator, provides engagement opportunities and certificates of appreciation for kids under 18. - Ensures the inventory of all educational materials, artifacts, and Federal licenses alongside the ACS is well maintained. - Ensures the information pertaining to the Education & Outreach program on GW's website is up-to-date. - With the Education & Front Desk Coordinator’s assistance, prepares and submits the Education & Outreach budget/projected income to the ED. - In collaboration with the Education & Front Desk Coordinator, tracks all Education & Outreach data for monthly Board reporting. Development & Fundraising (5%) - Attends Fundraising Events Committee meetings and participates in donation solicitations. - Assists Fundraising Events Committee with Wild Night coordination, logistics, and solicitation. - Supports GW events and fundraising efforts by recruiting volunteers as needed. Occasional work-from-home days permitted. Potential exposure to cleaning agents, wild animals, and zoonotic diseases. Shifts require frequent standing, walking, bending, and lifting (daily up to 10 lbs. and occasionally 40 lbs.). Required to sit at a desk and use the computer keyboard for most work shifts. Schedule Regularly scheduled for five eight-hour shifts, Monday through Friday. Holiday, evening, and weekend hours may be required to ensure department coverage and support/attend GW's fundraising meetings and events. Compensation: $21.00 - $24.00 per hour, depending on qualifications and relevant experience. Qualifications
Required Qualifications: - Bachelor's degree and a minimum of two years of supervisory experience working with volunteers/human resources/public services/non-profit organization or equivalent combination of education and experience - Experience in fundraising, development, and event management desirable - Animal care/welfare experience desirable - Proficiency with G Suite and Microsoft Office Suite - Experience with Volgistics, Constant Contact, Outlook, Google Suite, and other databases/software programs - Must possess a valid driver's license Knowledge, Skills, and Abilities: Strong verbal and written communication skills, organizational skills, and customer service skills. Ability to handle difficult situations involving the interns/volunteers/staff with tact, compassion, and good judgment. Ability to multitask in a fast-paced environment, show initiative, and work conscientiously with outstanding attention to detail. Ability to positively lead, mentor, and assign volunteers/interns to meet the organization's needs. Ability to work professionally and collaboratively with other supervisors and departments.
