Job Description
The RCLC is a primary University presence in Notre Dame’s surrounding community. The RCLC’s mission is to welcome community and Notre Dame partners that strengthen the Northeast Neighborhood of South Bend through relationship-building and educational opportunities. The Volunteer Outreach and Communications Specialist plays a key role in ensuring the smooth operation of the Robinson Community Learning Center (RCLC) through oversight of all volunteer programs, in which the specialist is responsible for recruiting and training volunteers for various programs at RCLC and through the use of data driven insights, oversee the evaluation of the programs’ effectiveness in improving student performance. This position is also responsible for financial and administrative oversight related to these volunteer programs. This position will promote the overall vision at RCLC through the creation of data storytelling about student performance and volunteers for use in web and social media platforms. The ideal candidate will possess strong communication skills, experience with social media, data analysis, attention to detail, and a passion for community engagement and youth development.
Essential duties and responsibilities:
Support RCLC Volunteers – Provide primary leadership to develop and implement a plan to recruit and hire approximately 400 volunteers per year to volunteer to serve in all RCLC programs. Create recruitment materials and presentations for Student Activities Nights, Notre Dame classes, student groups, and dorms, and coordinate with community-engaged opportunities. Secure applicants and match volunteers with RCLC needs. Develop and create an orientation curriculum for tutors based on best practices to ensure compliance with the Office of Protection of Children, develop tutor reflection sessions, and create and implement volunteer surveys semiannually. Create and manage a database for communication with volunteers. Develop programming schedules and curriculum. Ensure alignment of tutoring training with requirements of state of Indiana licensed tutor site, and required curricular documents. Evaluate appropriateness of Notre Dame clubs and local community organizations for engagement at RCLC. Secure needed background checks and oversee the club interaction with students and participants. This work may include all programs at RCLC. Utilize data-driven insights to make informed decisions in the evaluation of student work and ensure that the Youth Development Tutoring programs are effectively improving 25 student performance. Develop data input and tracking systems for analyzing and distributing data to the state and federal Americorp program oversight organizations, grant applications, and other reports as needed.
Accounting and financial management duties- Responsible for the financial management and oversight of the restricted budgets of the grants for Robotics, Americorps, TutorND, and Indiana Learns. This role will monitor account transactions through GLEZ and process journal entries and payments and create financials reports for leadership review. Oversee accounts receivable for programs and grants related to tutoring and afterschool programs, including but not limited to robotics, tutoring, and summer camp. Ensure and manage compliance, demographic attendance, and program data collection activities and assist in the preparation of associated grants. Secure confidential information about students from a variety of sources and partners. Create a system that meets the needs and expectations of FERPA compliance. Create and maintain a system that will allow analyses of student assessment data. Provide primary oversight to write and submit necessary reports to the state of Indiana for the tutoring program to secure ongoing funding as well as to comply with licensing requirements in the state of Indiana and other state agencies.
Lead the efforts to grow RCLC’s presence on social media and web platforms. Using knowledge and expertise from contemporary practice, research, and Notre Dame Communications, this position will be responsible for developing and disseminating content that will promote the engagement work of all the programs at RCLC to external audiences. Create marketing flyers and promotional media as needed. Coordinate the RCLC annual report for electronic distribution. Supervise student workers and Americorps members as they work on communication materials.
Provide primary leadership of the Vex Robotics program and Indiana Learns, including scheduling, meals, competition and travel, supplies, and coordinating with partner organizations. Create and distribute progress reports to parents evaluating children using knowledge and expertise in education, psychology, and child development. Initiate recruitment, background checks, supervision and training for coaches and tutors. Write and submit Vex grant applications annually to secure funding and support for the program.
Special Events—Provide oversight and support for RCLC special events throughout the year including but not limited to Back the Bend, ND day, RCLC anniversary and Holiday parties, and Lunch and Learn, End of Year Park outing, and more. Provide leadership and oversight of ND Football parking: This may include convening event partners, managing online platforms, securing materials or equipment and recruiting additional workers. Other center-wide management responsibilities, including managing the secured entry and front desk area during evenings and at other times as needed. Establish a plan for safety during evening events.
Minimum Qualifications
Education: Bachelor’s Degree
Experience: 3-4 Years
Skills: Strong Public Speaker and communications skills. Strong knowledge of Microsoft and Gsuite (Google Workspace) Products. Knowledge of Notre Dame systems is helpful.
Must be able to walk one mile. Must be able to lift and carry 30 lbs or more a short distance. Must be able to climb stairs.
