Primary Purpose of Position
The Visit Coordinator is responsible for coordinating a variety of experiences for Undergraduate Admissions to ensure prospective students receive a positive, informative, and well-organized visit to campus.
Duties include:
  • Overseeing daily operations
  • Ensuring coverage for campus tours/front desk
  • Assisting with oversight of student workers for Visit Program
  • Responding to inquiries via phone/email
  • Ordering supplies
  • Continually improving the campus visit process for visitors
Minimum Education/Experience
Required Minimum Qualifications:
Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
University Preferred Qualifications:
Graduation from a four-year college or university and one year of related experience; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Essential Job Duties
  • Ensure daily front desk/building and tour operation needs are met. This involves communicating with multiple teams, scheduling students and staff, maintaining equipment and technology, and ensuring all interior and exterior areas are clean and functioning.
  • Recruit, hire, train, and mentor student workers in the areas of front desk or tour guide leadership teams.
  • Ensure the admissions center and tour supplies are maintained and ready for use, including inventory, ordering/restocking of materials, keeping updated printed materials, and submitting needed maintenance requests.
  • Respond to guest communication regarding campus tours and other visit program inquiries via telephone, email, and in person.
  • Work with the Visit Manager to improve processes and provide the best possible campus visit for visitors.
  • Maintain a positive work environment by acting and communicating effectively with students, visitors, co-workers, and managers.

Departmental Preferred Experience, Skills, Training/Education
  • Bachelor’s degree preferred.
  • Demonstrated competencies gained through one to three years of experience in program coordination/planning, management of students, or an equivalent combination of education experience.
  • Experience providing quality service to internal departments and external guests.
  • Experience working in a professional office OR academic office at a college or university.
  • Experience working with and/or supervising high school or college-aged students.
  • Experience as a front-line manager for an operation, responsible for coordinating schedules, communication, inventory, etc.
  • Attention to detail and the ability to work in a high-volume environment.
  • Excellent verbal and written skills.
  • Experience in compiling, drafting, and proofreading documents and reports.
  • Preference is given to graduates of UNC Charlotte and the volunteer Niner Guide Program, campus tour guide.
  • Employees should be proficient in Word, Excel, PowerPoint, and some desktop publishing software.
