Summary

The Office of the Registrar at Barry university is seeking a full time VA Certifying Coordinator. VA Certifying Coordinator position functions as a team member of the Division of Academic Affairs in the development and implementation of processes necessary to accomplish the goals and policies of the University. Responsibilities include, but are not limited to; assisting the Assistant Registrar, VA School Certifying Official for the University. Assist VA beneficiaries (service persons, veterans, reservists, eligible dependents) with any VA claims or issues via phone, email, or in person are assessed, processed, and/or referred to completion. Distribute VA pamphlets or other information about VA programs to VA beneficiaries or potential VA beneficiaries. Assist with data verification, data entry, reporting, archiving records, and VA certifications for the Military/Veteran Services Office. Prepares and submits enrollment certifications. Prepares amendments, adjustments to certifications, terminations, and tuition and fees for VA Compliance Officer approval.  


Essential Functions

Serves as a VA School Certifying Official

  • Advises military affiliated students and veterans on how to apply for their education benefits and how the benefits applies to Barry University expenses
  • Processes all new student veteran VA applications
  • Creates student accounts in VA Once using the documentation provided by new students
  • Performs basic functions of student veteran enrollment certifications
    • Uses informer veteran enrollment reports for certifications-provided by supervisor
    • Determines number of credits the student is enrolled in to report to the VA
    • Enters all enrollment information into VA Once website and submits certifications
  • Maintains digital Student files for the Chapter 31, Vocational Rehabilitation program
  • Maintains records counselor names and email address.

Coordinates all department communications

  • Answers student veterans’ phone calls and emails
  • Maintains all emails in the veterans mailbox
  • Responds to all inquiries regarding student veteran education benefits, status of certifications
  • Flags other types of emails for supervisor
  • Takes messages regarding other issues

Data Entry/Data verification/Record keeping

  • Enters military information into Colleague screens
  • Ensure accuracy of data crossed referenced through all portals
  • Maintains all electronic records for VA students via Etrieve
  • Monitor and processes Change of Program for all VA Students

4.  Support with the daily/yearly obligations of the Military/Veteran Services Office

  • Military/Veteran Services Office and SVA events
  • Catalog Submission assistance
  • Monthly website monitoring
  • Bi-Weekly informational mass email correspondence & distribution email delivery


Qualifications/Requirements

  • An Associate's degree, or vocational/technical certificate is required. A Bachelor's degree in Business, Communication or Education is preferred.
  • 1-3 years of work experience at a college or university setting or experience working as a VA School Certifying Official. Prior experience working as or with active duty/veterans and/or other related VA programs and regulations is preferred.
  • Intermediate experience using Microsoft Office Suite
  • Must have the ability to communicate with credibility and confidence
  • Intermediate mathematics skills for calculating Tuition and Fees for Yellow Ribbon Students (tuition agreement between Barry and the VA) as well as analytical skills needed when determining which grants/scholarships should be included when submitting enrollment information to the VA.
