Position Summary
Job Responsibilities:
  • Provides research and analysis to prepare briefing materials. Manages multiple tasks with competing deadlines. Prioritizes conflicting needs; handles matters expeditiously, and proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Responds to routine and non-routine inquiries regarding University operations, policies, and procedures. Forward situations and issues to the appropriate staff members for resolution.
  • Performs and/or oversees a wide range of special projects or assignments that are highly sensitive or complex, requiring a high level of independence and initiative in execution and implementation.
  • Makes high-level contacts of a sensitive nature regarding routine & non-routine issues internally and externally requiring a high degree of discretion and diplomacy and time sensitivity. Understands the goals and priorities of the executive to prioritize issues according to urgency.
  • Plans, coordinates, and ensures the Executive’s schedule is followed and respected. Provides gatekeeper and gateway role, creating win-win situations for direct access to the Executive’s time and office. Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the leaders, some of which may have organizational impact.
  • Arrange meetings, conferences, and travel logistics for executives – may include pre-travel and post-travel tasks via University platforms.
  • Prepares and edits complex presentations, charts, and other written correspondence that best depicts the content of the intended message to internal and external stakeholders.
  • Plans, coordinates, and supports large- and small-scale events for faculty and staff across the School of Medicine

  • 40 hours a week position
    1-2 days a week on sight
    3-4 days remote
    Current on site date: Wednesday

    Minimum Education and Experience Requirements
    If Bachelor’s degree: Three (3) years of experience in an administrative support role and/or projects-related role. • If Associate’s degree: Seven (7) years of experience in an administrative support role and/or projects-related role. • If High School or GED: Eleven (11) years of experience in an administrative support role and/or projects-related role.
    Required Qualifications, Competencies, and Experience
    Required Skills:
    • Demonstrated customer service and professional written and verbal communication skills.
    • Ability to work independently on multiple projects.
    • Strong sense of tact, diplomacy, and discretion. Ability to interact with personnel at all levels of the School of Medicine.
    • Advanced problem-solving.
    • Encompass a wide scope of responsibility from performing transactional duties to making high-level decisions.
    • Proficiency in Microsoft PowerPoint, Excel, and Word; ability to quickly master new software platforms as needed.

    Preferred Qualifications, Competencies, and Experience
    • Proficiency in Concur, ConnectCarolina or Infoporte preferred
