Primary Purpose of Organizational Unit
The primary mission of the Department of Theatre is to provide high level education and training in theatre art within the context of a liberal arts environment. For our majors committed to performance or production, we combine pre-professional training with a solid academic core in order to prepare our students for a range of outcomes: from entry into the theatre and film markets to exciting careers in related fields of communication and other cognate disciplines. For theatre minors or general university students we offer a range of production opportunities, as well as academic and active learning workshop classes to augment the general student’s breadth of knowledge. For the university community and beyond we provide outreach programs and an eclectic and engaging season of productions that promulgate our view of theatre as both art and humanity.

Brief Summary of Work for this Position
The University Program Associate provides a variety of administrative office support and programmatic support to the Department of Theatre;
  • Secures right to images and pay royalties if necessary
  • Works with directors of each show on content for press release and then coordinates that release
  • Coordinates with Office of United Relations (OUR) for additional PR coverage
  • Works with outside vendors to schedule, design, and place paid advertisements
  • Gathers content and works with print services to create show program
  • Works with Advertising partners to secure their ads and artwork
  • Hires and trains house manager
  • Coordinates with UNCW services for each production, including, housekeeping, security, doors open/closed, HVAC scheduling, parking
  • Coordinates opening night reception and party
  • Works with Kenan Box office staff on the details of each production
  • Reconciles ticket sales with box office
  • Works with publishing houses to secure the rights to perform the plays that the faculty choose, including sometimes negotiating to secure a lower royalty
  • Works with student stage managers to schedule spaces for all rehearsals, production meetings, and performances of the productions. These rehearsals take place in multiple locations Monday – Friday evenings and Saturday and Sundays. Often there are three productions in process at any given time and they all need space. This is a complicated and time-consuming task
  • Maintains the website and social media platforms of the department, including Facebook, Instagram, and other social media platforms
  • Maintains the departmental budget and prepares summary data reports
  • Coordinates 8-10 theatre productions annually including: budget management, marketing, event programs, box office coordination, and scheduling for each production
  • Processes purchases, requisitions and independent contractors
  • Enters assignments for faculty load and compensation
  • Processes travel arrangements and requests
  • Assists in tracking faculty research and grants
  • Maintains confidential records, files and databases including equipment, computer and surplus tracking
  • Assists the department chair with various matters as they arise
  • Assists with various office matters including room scheduling, answering telephones and welcoming visitors, directing students to department resources, copying and preparing class materials, including coordination of book orders
  • Assists in the supervision of student workers in coordination with the department chair, requiring significant program knowledge in terms of curriculum, registration, file management, public contact, records, writing reports, and creating marketing blurbs
  • Processes and maintains confidential student records, faculty academic and travel processing, web management and composition of written materials
  • Organizes meetings and oversees production and marketing materials, including programs, posters, and playbills
Minimum Education and Experience Requirements
Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
