Essential Job Duties
Position oversees the Undergraduate Program office routine operations in the Department of Mathematics, which is the primary entry for the department. It primarily supports and collaborates with the Director of Undergraduate Programs (DUP) in handling administrative duties for the Mathematics Undergraduate Program. While providing typical administrative support to the DUP, the position also prioritizes needs and deadline for the departmental, college, and university.
The position works closely with the DUP to clear/flag all majors and minor seniors for graduation, and this requires close coordination and liaising with the college office of academic affairs as well as Registration and Records and other university offices; accuracy and attention to detail are paramount to success of the position and to our students as mistakes could cause considerable additions of time and expense to students, if not processed properly.
This position will determine the most effective course of action needed to proactively create solutions and take the necessary actions needed to resolve problems, both common or unique for diverse stake-holders which may include students, staff, faculty and guests.
Mostly all NC State students must take courses in mathematics, so there will be times where this position will deal with high volumes of inquiries from not only math majors and minors, but students from other related disciplines. Attention to detail and the ability to manage multiple tasks efficiently are crucial for success in this position.
The position will serve as part of a team with the department’s graduate program coordinators to produce two large departmental graduation certificate ceremonies
The position will provide support in organizing and preparing for New Student Orientation events and for program recruiting events such as the University Open House. Attendance at all events is not typically required, aside from graduation, but there may be infrequent times where the position will need to attend some events outside of normal business hours.
The position will collect and organize diverse data and information (including but not limited to enrollment data, graduation statistics) requested by the department, college or the university. Data collected is used in reporting for various internal and external constituents, including external accreditation agencies.
This role involves working alongside the Director of Undergraduate Programs to streamline the advising process, ensuring smooth and efficient operations. Responsibilities include communicating with students about upcoming registration deadlines, assigning advisors to both current and incoming math majors, and disseminating pertinent information to math majors, among other tasks.
The position serves as the department’s main liaison for all undergraduate constituencies, including students, parents, and faculty. It requires excellent verbal and written communication skills.
This position is responsible for offering direct support to all teaching faculty and graduate students. It requires comprehensive knowledge of the department’s operations directing inquiries that are not only the responsibility of the position, but also those of others within the department.
