Summary

The Department of Women's and Gender Studies (WGS) is a vibrant, dynamic academic unit with a diverse intellectual community dedicated to excellence through research and teaching. Our Undergraduate Program Coordinator is a critical member of the administrative team and is integral to our success. The person in this role provides a broad range of services to our declared majors and minors, the non-declared students who take our classes, and the faculty who teach them. The department offers two undergraduate majors and four minors.


An enthusiastic, detail-oriented, professional, and positive persona is critically important to this position. The ability to manage a large and complex workload, efficiently complete projects in a timely manner and multi-task in a dynamic, fast-paced environment is essential. The candidate must also be able to deliver exceptional customer service to a diverse community of faculty, fellows, staff, students, and visitors.


The person in this position works closely with the Department's Director for Undergraduate Studies, departmental leadership, undergraduate committee, and faculty advisors. This position reports directly to and works closely with the department's Chief Administrator. WGS depends on each member of the team to work successfully and collaboratively with each other to fully support the departmental mission, as well as work independently with minimal supervision.

Responsibilities*

Undergraduate Program Student Support (40%)

  • Serves as the primary point of contact for undergraduate student services to current students and prospective students. 
  • Advises current/prospective students and faculty members on department and College policies and procedures. Reviews and obtains approval of student requests for course exceptions within the major and minors. Processes declarations and adds students to appropriate email lists. Ensures that email traffic in personal and student services email boxes are addressed in a timely manner. Prepares the course equivalency chart each term to advise students on courses counting in the major/minor. Manages online advising appointment calendar.
  • Represents the department at the LSA major/minor fair, participates in LSA undergraduate group (LUGS) meetings, and serves on other committees as needed.
  • Plans and executes, including providing onsite support, for a variety of undergraduate student events throughout the year. 
  • Creates advertising material for courses, events, and recruitment. 
  • Serve as department advisor for WGS major and minors in LGBTQ Studies, Gender, Race, & Nation and Social Class and Inequality Studies.
  • Additional duties as assigned to support the mission of the department. 
  • Manages yearly award competitions.


Curriculum Management (35%)

  • Reviews course offerings and based on projected student demands, initiates discussions with the Director of Undergraduate Studies on courses that need to be offered each term.
  • Manages the undergraduate curriculum and creates class offerings and course guide submissions for each term. Collects time scheduling preferences and enters a time schedule in Wolverine Access. Sets up meets togethers courses with other departments as requested in consultation with the Director of Undergraduate Studies.
  • Reviews compliance with Provost's space utilization policy of the time schedules.
  • Closely monitors enrollment and recommends strategies for managing enrollment to ensure appropriate registration volume.
  • Override contact for undergraduate courses during registration and start-of-term periods, including honors and independent study courses.
  • Coordinates administrative aspects for the department's honors program.
  • Monitors student grades at the end of the term to ensure faculty have entered grades for every departmental course.
  • Orders teaching evaluations.
  • Facilitates changes to curriculum (create/delete/modify courses); prepares and processes all PARF and CARF forms through the LSA curriculum committee for proposed changes. Submits permanent and term-specific course list updates to LSA CC to ensure student's degree audit checklists are correct. Reviews impact of curriculum changes on students or other LSA units and advises the Director of Undergraduate Studies of any issues.
  • Maintains tracking system for faculty teaching obligations and identifies issues to the departmental Chief Administrator and the Director of Undergraduate Studies.
  • Serves as liaison to Sweetland Center for Writing in proposing and scheduling upper-level writing requirement (ULWR) classes, as well as other student support services. 
  • Completes term/annual LSA & RO curriculum tasks as defined.
  • In collaboration with the Chief Administrator. the Directors for both Graduate Studies and Undergraduate Studies, and the Graduate Program Coordinator, facilitates, coordinates, and executes GSI hiring to support course requirements.


Department Student Administrative Support (25%)

  • Maintains awareness and understanding of departmental practices and procedures.
  • Provides regular coverage for the main office. 
  • Provides excellent customer service in responding to routine questions about the undergraduate programs, the curriculum, and operations of the department to callers/visitors/email inquiries.
  • Provides administrative support and overall guidance to the department's undergraduate student organizations.
  • In collaboration with the Chief Administrator, manages UG student awards and grants process and student disbursements, tracks funding, as well as student account activities and finances.
  • Responsible for publicizing internships and events and helps identify speakers and panelists for student events.
  • Maintains department LinkedIn group for alumni and current students, as well as alumni relations and databases. Maintains content for undergraduate sections of the departmental website and departmental portal. 
  • Manage an electronic newsletter for graduate students.
  • Responsible for the planning and execution of all undergraduate student events.
  • Cross-training with the Graduate Program Coordinator and be expected to provide knowledge and expertise in graduate coordination as needed.
  • Additional project/department support as instructed by the Chief Administrator. 

Required Qualifications*
  • Interest in, understanding of, and commitment to such topics as feminism, women's studies, gender and health, diversity, social justice, and the inclusion of all populations.
  • Associate degree or equivalent with a minimum of four years of progressively responsible administrative experience.
  • The successful candidate will have the ability to work effectively, efficiently, and sensitively with a diverse group of students, faculty and staff with confidential materials and situations.  
  • Must have demonstrated experience using MS Excel and Word, database tools and software, and understand the importance of social media in the academic environment.
  • This individual needs to be a critical thinker, problem solver, decision maker, and be able to handle pressure situations. 
  • Candidate must possess behavior traits of adaptability, patience, and the ability to work collaboratively are essential for success in this role.
  • Must be a self-starter, have excellent organizational skills, demonstrated ability to set priorities, handle multiple assignments and deadlines, and to display excellent judgment while operating in a flexible and highly professional manner. 
  • Demonstrated ability to work in a team environment as well as work independently with minimal supervision. High degree of attention to detail and accuracy. Ability to identify and resolve conflict. Initiative and the desire to identify opportunities for changes to processes, procedures, and duties. 
  • Additional behavior traits of flexibility, adaptability, patience, professionalism, dedication, and the ability to work collaboratively are essential for success in this role.
  • Willingness to assume additional responsibilities as needed.

Desired Qualifications*
  • A master's degree in higher education, college student services administration, student services, counseling, or other related discipline (or coursework towards a related program) is strongly desired.
  • Working knowledge of university policies, rules, and administrative procedures related to student administration.
  • 3 years or more of relevant student services experience in an academic setting, preferably within the College of LSA. 
  • Reasonable knowledge of student counseling, advising on program requirements, problem resolution, and guidance practices. 
  • Project management experience and skills.
  • Experience with FERPA, M-Pathways and various LSA systems including MRS, student advising file, and course maintenance is highly desired. 
  • Experience with U-M and LSA policies and procedures.
  • Strongly prefer experience with undergraduate admissions process and associated electronic application software. 

Work Schedule

This is a full-time position with a primarily work schedule of 8am to 5pm, M-F. This position will require some scheduling flexibility to support student events and academic needs evenings and weekends throughout the year. This position will require on-site work a minimum of four days per week. 


Additional Information

The target salary range for this position is $45,500-$56,600 per year, the actual salary offered is based on the qualifications and experience of the selected candidate.
