The Office of Student Success provides leadership for multiple units focused on meeting the needs of Cal Poly Pomona's diverse student body. The Office of Student Success oversees the coordination of academic advising initiatives to achieve shared goals, and the development and implementation of academic intervention programs to help students make timely progress toward degree completion. Student Success provides oversight for academic and student success as related to academic policies, university advising, academic-related initiatives, and strategic planning. The office handles student petitions related to academic issues, including general academic petitions, retroactive withdrawals, grade appeals, academic renewal, and records the completion of culminating experiences. Student Success provides oversight for University Advising, the Bronco Advising Center, Student Communication, Advising Technology, Undeclared Advising, Early Alerts Programs, Graduation Pledge Programs, the Early Start Program, the Learning Resource Center; Bronco Tutoring; First Year Experience (FYE); Science, Technology, Engineering, and Mathematics Students United to Create a Community for Engineering and Science Success (STEM SUCCESS); Reading, Advising, and Mentoring Program (RAMP); and the University Writing Center. The office of Student Success collaborates with Academic Program, Enrollment Management Services, and College leaders to support students in meeting their academic goals.
DUTIES AND RESPONSIBILITIES
Undeclared Program Coordination
- Be prepared and able to serve students in various modalities.
- Be able to work in a hybrid environment, align with the CPP Telecommuting Program principles and practices, and the specific Academic Affairs standards of excellence and divisional values.
The incumbent is responsible for program development and coordination for Undeclared Advising
- Adapts and implements developmental, student-centered advising models to be used by advisors when advising students who are undeclared or interested in impacted majors.
- Topics covered in sessions include General Education and graduation requirements, campus resources, career advisement, and major selection.
- Researches best practices and trends on the national and local levels as they relate to advising for undeclared and expressed interest students. Implements program enhancements to improve student outcomes and progress to degree.
- Coordinates academic departments, primary and supplemental advisors, Enrollment Services to identify and maintain program participant lists, identify needs, and develop programs and interventions.
- Manages and maintains the tracking of student persistence and monitoring progress to degree.
- Reports on program success utilizing assessment data, program information, student persistence numbers, graduation rates, and other student success markers
- Works with the Director of University Advising and Senior Coordinator to implement campaigns and interventions using CPP Connect.
- Onboard, train and lead professional staff and student staff to ensure they are effectively able to implement the Undeclared Advising model and provide general academic support.
- Serves as a resource and referral for professional staff, faculty, and student advisors regarding program implementation and logistics.
- Navigates complex and sensitive situations as the need arises in the office.
- Provide timely, focused advising to all students to ensure they stay on track to graduation and are able to successfully navigate university policies and procedures to meet their academic and career goals.
- In advising, utilize a combination of high-level analytical and interpersonal skills as well as independent judgement when developing effective and creative solutions to student problems.
- Assists with the Bronco Advising Center's drop-in general advising, available to all undergraduate students.
- Advises students on the relationship between General Education, major, and career goals with regard to the student's interests, skills, and abilities.
- Advises students on appropriate timing for meeting General Education, major, and other graduation requirements.
- Maintains knowledge of, interprets and explains complex academic policies and procedures.
- Counsels students in academic difficulty and assists students in identifying challenges and creating strategies to improve their academic progress.
- Assists students in interpreting General Education/Graduation Requirement evaluations.
- Provide one-on-one, group, in-person and online advising to students who are in academic difficulty or who have been identified via early alerts or graduation initiatives as needing interventions.
- Collaborate with a broad range of institutional partners including College Associate Deans, Department Chairs, faculty, and staff, as well as the Registrar's Office, and staff from supplemental advising programs (including Athletics, International Center, Kellogg Honors College, and CPP Pledge Program) to provide support to students.
- Use e-advising tools including CPP Connect, Planner, Degree Progress Report Scheduler, and other tools to advise students and educate them on academic planning.
- Provide accurate and timely maintenance of student petitions.
Major Requirement Communication and Exploration Coordination
- Coordinate the Change of Major requirements updates by partnering with department chairs and college advisors to keep materials updated. Ensure that the requirements are up-to-date, consistent with university policy, and equitable across colleges.
- Create programming for students who are not making progress in their current majors to explore majors that may be a better fit.
- Create and implement programming for students on Administrative Probation for not making progress in their current major.
- Develop and implement Canvas-based resources to help departments offer consistent and effective change of major tools and resources.
- Partner with Senior Coordinator of University Advising to coordinate the implementation of department-based major success markers. Monitor success marker analytics, develop reports, and partner with college advisors to develop data-based strategies to support students.
- Partner with the Senior Coordinator of University Advising and the Graduation Pledge Coordinator to launch campus-wide efforts to promote CPP Connect's Planner and scheduler.
- Coordinate with Enrollment Management and IT partners on the improvement of the
- Change of Major petition and OnBase reporting.
- Partner with Early Alerts team on doing outreach to students.
- Presents General Education and graduation requirements.
- Facilitates college success workshops such as time management and study skills, given throughout the semester.
- In collaboration with the Career Center, prepares and delivers presentations for undeclared first-year and transfer students attending summer and winter orientations.
- Serve as an active member of the College and University advising community.
- Regularly participate in Academic Advisor Council and attend its meetings, as well as advisor trainings, webinars, and workshops.
- Participate in supplemental advising committees and working groups, as appropriate.
- Serve as liaison to one or more academic departments to provide updates on procedures and policies as well as review curriculum information to be communicated with students.
- Provide robust documentation of advising interactions, interventions, and programming via CPP Connect and other available tools. Summarize all information in annual reports and provide data-informed recommendations for improvements.
- Utilize reporting tools such as CPP Connect, BroncoDirect, and Tableau to identify students in need of support and track progress toward improving their academic outcomes.
- Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.
- Possession of these knowledge and abilities is typically demonstrated through the equivalent of three (3) years of progressively responsible professional student services work experience.
- One (1) year in the program area to which assigned may be preferred but is not required. A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience.
- A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three (3) years of experience for positions with a major responsibility for professional career or personal counseling.
- Thorough knowledge of the principles of individual and group behavior.
- General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned.
- General knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned.
- Working knowledge of student services programs outside the program to which immediately assigned.
- Ability to analyze complex situations accurately and adopt effective courses of action; advise students individually and in groups on complex student-related matters.
- Determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature.
- Interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action.
- Carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.
- Masters degree in Educational Leadership, College Student Personnel, Educational Counseling, or related field.
- Knowledge of General Education in the California State University system.
- Experience working with students in academic distress, dealing with highly sensitive issues.
- Demonstrated ability to work collaboratively with experienced staff and unite them around common goals.
- Personal qualities of integrity, flexibility, and compassion.
- Experience in at least two (2) of the following areas: academic advising, teaching, assessment, counseling, and co-curricular activities.
- Ability to juggle multiple tasks at once while remaining composed.
