Position Overview

The Office of the University Registrar reports to the Vice Provost for Enrollment Management which includes the following functional units: Office of Undergraduate Admissions, Financial Aid and Scholarships, Student Information Systems and the Office of the University Registrar.
The Office of the University Registrar (OUR) is responsible for catalog and course scheduling, room reservations, student enrollment, tuition and fee assessment, production and maintenance of the academic record including the official academic transcript, enrollment certification, graduation and diploma production. 

The Tuition and Fee Coordinator manages enrollment services and records in relation to tuition and billing. The coordinator assumes all responsibility for student guidance through payment, appeal, and other specialized needs and serves as the tuition and fee escalation point for Enrollment Management Student Services, Academic Success, Academic Advising, and academic unit staff who serve students.  The Coordinator is cross-trained in Financial Aid and Student Accounts and Receivables systems, protocols, and procedures to deliver this specialized service. The Coordinator reports to the Assistant University Registrar for Records and Tuition Assessment, and works closely with all aspects of student success to assist in the transition, retention and graduation of KU undergraduate and graduate students.

Job Description

60% Student Services

  • Triages the needs of critical student populations to the university including transfer, online, adult learner, graduate, and satellite campus students for KU and affiliated KUMC students.
  • Resolves individual student tuition/fees issues and provides appropriate student/staff guidance for next steps.
  • Office of the University Registrar liaison to Student Accounts & Receivables
  • Assists students with Vocational Rehab, and related third-party payment support.
  • Provides support for all front-line student service areas when students have billing questions that are beyond their expertise.
  • Offers support for students in extenuating circumstances with their bill aiding with navigating the complex tuition and fee system.
  • Works closely with the Academic Success Leadership Team and the KU Student Finances Workgroup on new and continuing student intervention efforts related to recruitment, retention and completion.
  • Serves as the Plan to Pay Initiative coordinator.  Trains for calling campaigns; acquires, curates, and manages calling lists; manages call assignments; tracks assessment data.
  • Stays informed on federal, state, and institutional policies and procedures.
  • Trains and updates academic and student support personnel related to student plan codes and sub-plan codes as they are directly tied to student payment and other identifiers.
25% Process Improvement & Training
  • Evaluates and makes recommendations to leadership on policy, process, and technological improvements to enhance the student experience.
  • Manages and reports individual student data upon request to resolve issues or to explore process improvement.
  • Trains university staff on transactions related to enrollment, records, and tuition and fees.
  • Works closely with Associate University Registrar on relevant Comprehensive Fee Schedule coordination, testing, and implementation.
  • Coordinates with Assistant University Registrar for Technology, Reporting, and Residency to create an clear and logical tuition and fee website.
10% Leadership
  • Proactively identifies process and procedure gaps and develops strategies to improve efficiencies.
  • Participate in relevant professional development.
  • Contribute to committees or projects as assigned.
  • Provides departmental data relating to service usage and trends other relevant strategic information.
5% Other duties as assigned by Academic Success Leadership.

Required Qualifications

  • Master’s degree, OR a Bachelor’s degree plus two years related experience, OR a High School Diploma/GED and six years related experience. 
  • Experience working in student information systems such as PeopleSoft, Banner, etc.
  • Higher education customer service experience.
  • Experience in a position that required multi-tasking or completing multiple projects.
  • Effective written communication skills as demonstrated by the application materials.

  • Preferred Qualifications

  • Demonstrated experience working with adult, transfer, or online students and diverse student populations in a higher education setting.
  • Experience with student payment services or billing.
  • Experience with financial aid or scholarship awards.
  • Experience with student records, FERPA compliance, or registrar processes.
  • Experience working at the University of Kansas.
  • Experience in a fast paced, high-volume environment.
  • Work experience in documentation of processes.
  • Experience using videoconferencing tools such as MS teams, zoom etc.
  • Experience with student tracking systems or CRM’s.
