Travel Assistant

Lawrence Berkeley National Lab’s (LBNL ) Office of the Chief Financial Officer Division has an opening for a Travel Assistant to join the team.
In this exciting role, you will report to the Travel and Conference Services Manager, you are responsible for travel operations transactions in compliance with applicable policies, contract requirements, regulations and laws. Responsible for a complete and systematic set of transactions in the travel process. Assignments often require the use of judgment in resolving issues, within the scope of assignment. Normally receives limited supervision. This position has interactions with a variety of individuals, usually internal to the Laboratory. Prioritizes work assignment priorities to meet deadlines. 

The work modality for this position will be hybrid. You are expected to be on-site a minimum of two days per month to assist with the distribution and/or deposit of travel reimbursement checks.

What You Will Do:

  • Responsible for the execution of travel transactions in an accurate and timely fashion, in alignment with volume metrics established for the work unit.
  • Ensure compliance with applicable policies, contract requirements, regulations and laws.
  • Ensure documentation supporting travel transactions is in compliance with applicable policies and procedures.
  • Responsible for compliance with work unit expectations for quality assurance and monitoring and management of exception reports.
  • Research and analyze travel transactions to resolve discrepancies/issues within scope of assignment or as assigned by management.
  • Compose correspondence to audiences internal and external to the Laboratory. This may be in the form of an FMS message, email, or issues management system (askUS) response.
  • Travel reporting, including non-standard and/or ad hoc, acting in the capability of preparer. Responsible for monthly and year-end close related activities.
  • Identify and compile travel transaction documentation and work unit procedures/desk guides to respond to internal and external audits.
  • Utilize Laboratory Financial Management System (PeopleSoft FMS), Intellego, and other business/financial tools to fulfill assignment responsibilities.
  • Provide excellent customer service to both internal and external customers.
  • Review transportation allowances to ensure personal travel costs are not claimed.

Additional Responsibilities as needed:

  • Participate in the evaluation of work methods and transaction documentation for efficiencies, making recommendations for policy and process improvements.
  • Participate in stakeholder engagement meetings (Travel Liaison Committee – TLC) as an active listener and occasional presenter.  
  • Assignment specific duties, as described below:
    • Any additional departmental tasks/projects deemed necessary by Manager - (planned or ad hoc).
  • Participate in on-going projects supporting department and stakeholder needs
  • Assist with travel agency projects as needed (Concur profiles, outstanding travel, and airfare reviews)

What is Required:

  • Highschool diploma and a minimum of 6 years of related work experience in the travel industry and/or expense reimbursement systems, or equivalent experience.

Desired Qualifications:

  • Familiar with Global Distribution Systems (GDS); Sabre preferred. Familiar with online booking tools such as Concur or GetThere.

  • This is a full-time, career appointment, non-exempt (hourly paid) from overtime pay. 
  • This position is represented by a union for collective bargaining purposes.
  • * The full salary range for this position is $31.00 - $41.00. Salary offers will be commensurate with the final candidate’s qualification and experience, including skills, knowledge, relevant education, and certifications, and also aligned with the internal peer group.
