Brief Summary of Work for this position:


The Travel and Direct Pay Specialist's position is primarily responsible for:
  • Review and approval of agency airfare and local hotel reservations
  • Maintaining non-employees and students in Chrome River Travel and Expense system
  • Review and reconciliation of Travel and Direct Pay clearing funds and error reports
  • Scanning and linking of documents in ImageNow system
  • Development and distribution of reports providing relevant information and/or metrics to campus users or management
  • Interaction with all levels of campus departments as well as outside vendors and agencies
  • Cross training and serving as backup to Travel and Direct Pay team including but not limited to timely and accurate reconciliation and processing of travel documents, reimbursements, and direct pay invoices

Minimum Education and Experience Requirements:


High school diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience. 

Preferred Education, Knowledge, Skills & Experience :

  • Associate or Bachelor's degree in Accounting, Business Administration or related field
  • 3-5 years of Disbursements, Accounts Payable or general ledger experience
  • Strong knowledge of business, financial and general administrative processes in a business setting
  • Experience with Banner Finance or similar ERP or Oracle application
  • Experience with Chrome River or other cloud-based travel and expense or invoice system
  • Experience in higher education or state agency disbursement processes
  • Excellent organizational and time management skills
  • Excellent customer service skills
  • Excellent oral and written communication skills
  • Ability to communicate at all organizational levels
  • Proficiency in Microsoft Office Suite of products

Primary Purpose of Organizational Unit:


The Finance team within the Division of Business Affairs supports the University's mission, strategic vision, goals, and objectives by providing key financial services efficiently and effectively. The Finance team provides financial services directly to students and the campus community.
The Travel and Direct Pay unit within the Controller's Office is responsible for timely and accurate university direct pay obligations; non-travel reimbursements for university employees and students; travel reimbursements for all university business travel for employees, student groups, team travel, non-employees, prospective employees and athletic recruits. The Travel and Direct Pay unit maintains the UNCW Travel card program and ghost card programs for UNCW travelers and support and maintenance of two modules within a cloud-based travel and expense system (Chrome River). The Travel and Direct Pay Office is responsible for maintaining disbursement information related to the integrity of the Chart of Accounts and general ledger; management reporting of trend analysis and metrics; compliance with Federal and State regulations, policies, and guidelines; training programs for campus and a high level of customer service.
