Position Overview

The Office of the University Registrar reports to the Vice Provost for Enrollment Management which includes the following functional units: Office of Undergraduate Admissions, Office of Graduate Admissions, Financial Aid and Scholarships, Student Information Systems, and the Office of the University Registrar.

The Office of the University Registrar (OUR) is responsible for catalog and course scheduling, room reservations, student enrollment, tuition and fee assessment, transfer credit, production and maintenance of the academic record including the official academic transcript, enrollment certification, graduation and diploma production.

This Administrative Associate position is a transfer credit evaluator and catalog editor position in the Office of the University Registrar. This position performs highly specialized and diverse administrative support work. This position is responsible for evaluating and processing transfer credit for prospective and current students including, but not limited to, research of courses offered across the country, determining a comparable match to the course at KU and data entry of each course on the student’s record including number of credits and grade.  This position will research incoming courses to determine equivalency according to established policies and procedures for acceptance of transfer credit and use professional judgement on the appropriate course match.  This position will also assist with academic catalog review to support student progress towards graduation.  This position has some latitude in decision making and generally operates with indirect supervision representing the office to the campus community.  This position requires excellent research and data entry skills, attention to detail and the ability to operate in multiple software systems to accomplish unit goals.

Job Description

60% Transfer Credit Evaluation and Data Entry for Office of University Registrar

  • Research incoming courses using the descriptions for prospective, incoming, and current students from the transferring school’s college catalog to evaluate and use professional judgement to determine the equivalency according to the policies and procedures of transfer credit.
  • Post transfer credit and test credit into Student Information System for prospective, incoming, and current students.
  • Calculate KU Admission GPA based on transferable coursework in keeping with KU policy and procedure.
  • Utilize reporting tools to regularly review course equivalencies to ensure evaluations are current.
  • Exercise a high level of attention to detail in data entry and examination of documents to identify issues and provide solutions that ensure evaluations are accurate and consistent.
  • Analyze and understand the impact of transfer credit on general education and degree requirements.
  • Provide superior customer service to inquiries regarding transcript entry status, issues regarding transfer of credit, and general information about KU’s admissions process.
30% Catalog Review and Department Liaison
  • Liaison with campus departments and schools to gain understanding of degree requirements and curriculum content to support catalog review and course equivalency standards.
  • Review, edit, verify accuracy, and secure necessary approval of catalog pages to conform with established University policies and style.
  • Assists and provides back-up and leave coverage for Transfer Credit Specialists and Catalog Coordinators.
  • Assists Assistant University Registrar with set-up and maintenance of CourseLeaf Curriculum Management software and other duties as assigned.
10% Reporting, Policies and Procedures Maintenance, and Other Duties
  • Manage a variety of daily and weekly reports associated with admission, transfer credit, and military transcripts.
  • Maintains a thorough knowledge of current University Registrar and Enrollment Management policies.
  • Review and update transfer credit and catalog procedures on an established timeline.  Creates, maintains, and provides documentation and training on transfer credit and course catalog processes to enable back-up of area.
  • Special projects and other duties as assigned by the Assistant or Associate Registrar.

Required Qualifications

  • High School diploma or completion of G.E.D. equivalency.
  • Two years of office experience or two years of post-secondary education.

  • Preferred Qualifications

  • Experience working in a university office or academic department.
  • Knowledge of Universities rules, regulations, policies, and procedures.
  • One year experience in any of the following:
  • Exercise independent judgement in evaluating situations and making decisions.
  • Establishment and maintenance of effective working relationships
  • Identifying and solving complex procedural and/or software problems
  • Completing detailed work with attention to detail and high levels of accuracy
  • One year experience with data entry in PeopleSoft Campus Solutions/Enroll and Pay
  • One year experience working with ImageNow/Perceptive Content or other document imaging software.
