Job Summary
This recruitment will be used to fill one full-time Training Specialist position for the Office for Sponsored Research and Award Administration (OSRAA) resides within the Division of Research and Innovation (DRI) at Oregon State University (OSU).
The Office for Sponsored Research and Award Administration (OSRAA) resides within the Division of Research and Innovation (DRI). Its mission is to provide research administration leadership for all campus colleges, units, and research centers, achieved through full sponsored project lifecycle support for proposal submission, award negotiation and acceptance, research costing and analysis, award management, financial management and closeout of awards that support the research goals of Oregon State University’s strategic plan: Prosperity Widely Shared .
The Research Administration Training Coordinator is a member of the team responsible for developing and managing a university-wide, comprehensive training program addressing all aspects of sponsored project management for faculty and staff engaged in externally funded research and other sponsored activity.
This role participates in the development and maintenance of educational and process documentation that serves DRI staff, OSU research administrators and principal investigators, including ongoing analysis of training and documentation needs specific to the field of research administration, developing curriculum and content in collaboration with subject matter experts and utilizing a variety of methods and modalities for content delivery. Topics in research administration content development may include administrative and compliance matters, general industry knowledge, and utilization of system applications, such as electronic research administration (eRA), OSU business systems, and grants management software.
The field of research administration is one of complexity and constant change. This position must be able to react quickly to these developments and help lead the way forward to include developments in training targeted to both new and existing employees. Additionally, this role participates in training and development collaborations with colleges and units that support research administration. This includes building relationships with colleagues in the Finance and Administration Controller’s Unit, Financial Strategic Services (FSS), Office of Audit, Risk and Compliance (OARC), Office of Procurement, Contracts and Materials Management (PCMM), and other personnel within centers, colleges, and departments to ensure a cohesive training program.
This position will serve as an integral part of OSU’s research administration training program, acting as a good partner with OSU colleagues, leadership, and external peers and organizations. The individual in this position will uphold a standard of excellent customer service and assistance to OSU’s faculty and research administrators, as well as nurture positive relationships both inside and outside of OSU.
The Research Administration Training Coordinator reports to the Research Administration Training Manager and works closely with personnel in DRI and other campus units.

Key Responsibilities
40% Training Development, Design & Facilitation
Support the establishment and implementation of the research administration training program, including the development and maintenance of educational and process documentation that serves a broad audience of research administrators and principal investigators managing sponsored projects at OSU. This includes evaluating the existing training framework and building out a robust infrastructure of training resources, materials, and knowledge tools to assist subject matter experts in the delivery of relevant research administration guidance.
Develop curriculum and content in collaboration with subject matter experts and ensure a variety of methods and modalities are utilized for content delivery. Content development will include administrative and compliance matters, general industry knowledge, and training for utilization of system applications, such as electronic research administration (eRA), OSU business systems, and grants management software.
This work includes but is not limited to the following:
  • Participate in the design and maintenance of a framework for OSU’s research administration training program, to include targeted curriculum needs for DRI/OSRAA staff, as well as campus research administrators and principal investigators
  • Partner with subject matter experts to assess and identify training needs for campus stakeholders and OSRAA/DRI staff, including future or anticipated needs
  • Collaborate with subject matter experts, recognize key technical concepts, and distill information into technically accurate and understandable content
  • Design and prepare educational tools, materials and documentation for research administrators, faculty and others
  • Work with colleagues across the organization to ensure completion of and regular updates to training documentation for both internal OSRAA/DRI staff and campus stakeholders
  • Collaborate with other OSU units and colleges on content and delivery of research administration training to OSU stakeholders, including attending college/unit outreach, as needed
  • Assist with coordination and tracking of broader DRI initiatives to ensure compliance with sponsor agency requirements, such as documentation and training for Responsible Conduct of Research (RCR), Research Security, and others as needed
  • Plan, coordinate, and schedule trainings to include subject matter experts and other participants
  • Participate in and lead, when appropriate, research administration training sessions
  • Use the appropriate medium and/or method to successfully deliver educational content to intended audience (instructor-led classroom, virtual session, video, written material, etc.)
  • Optimize training processes for efficiency, effectiveness and accessibility
  • Provide train-the-trainer sessions and technical support for subject matter experts
  • Collaborate with leadership and campus stakeholders to update the research administrator onboarding program for new hires within DRI/OSRAA and other campus units
  • Produce clear and succinct educational materials for campus stakeholders
  • Apply information mapping concepts to organize complicated topics
  • Identify and implement visual design elements to improve readability and understanding
  • Design and apply assessment tools to measure instructional effectiveness and summarize evaluation reports to determine the impact of training
  • Represent and serve as liaison on committees, workgroups or other meetings related to research administration training
  • Lead special training and program development projects as requested by the Associate Vice President of Research Administration, Finance and Operations, Director of Sponsored Programs, Award Management, and Research Administration Training Manager.

40% Training Development for OSU Systems
As OSU implements modernized software and systems related to the management of sponsored projects, determine how the new systems intersect with grants management and incorporate system training into the research administration training program:
  • Lead development of research administration training for new or updated systems, including electronic research administration (eRA) and grants management software
  • Identify specific training needs for DRI and other OSU stakeholders who will engage with new systems, including pre-award, compliance, and post-award topics
  • Design and prepare educational tools, materials and documentation for research administrators, faculty and others utilizing these systems
  • Partner with subject matter experts and conduct training for DRI units and campus research administrators. Plan, coordinate, and schedule trainings to include subject matter experts and other participants.
  • Participate in and lead, when appropriate, system-related research administration training sessions
  • Perform ongoing evaluation of system training needs and incorporate updates into research administration training program, as needed

10% Maintenance of Training Materials and Professional Expertise
Conduct ongoing analysis of training and documentation needs specific to the field of research administration. Investigate emerging research administration topics and policy updates from federal or other sponsor agencies and advise leadership and OSU colleagues on recommended approach for training on these matters.
Develop and maintain a sustainable process for regularly evaluating training methods, materials, and other documentation, including regular update of training and guidance materials at an established cadence.
Partner with subject matter experts to evaluate OSU internal policy updates affecting research administration and ensure training and program materials are updated, as needed.
Research best practices on training topics by utilizing materials and resources from sponsoring agencies, federal guidance, and professional research administration organizations. Network with other institutions and professional organizations to help inform regular upkeep of OSU’s research administration training program.
Participate in professional development offerings to grow and maintain learning and development expertise.
Attend conferences and workshops to keep relevant on best methods for training development, program design, and instructional techniques.
5% Leadership
Provide lead work, train and mentor the student assistants as the research administration program is established. Advise and make recommendations for hiring, performance or other sensitive employment matters in collaboration with the Research Administration Training Manager and Director of Sponsored Programs, Award Management.
5% Other Duties Assigned
What We Require
Three years of experience as a trainer which included responsibility for assessing, planning, delivering, and evaluating training needs in an organization; AND a Bachelor’s degree in Business Administration, Public Administration, Education, or Human Resources (Personnel) Management; or three more years of pertinent experience.

What We Would Like You to Have
  • Bachelor’s or advanced degree with education, training, or organizational development focus
  • Five (5) or more years of experience in training development and coordination
  • Three (3) or more years of research administration experience
  • Extensive knowledge of instructional design theory and implementation
  • Supervisory experience
Working Conditions / Work Schedule
This position, with supervisor and/or director approval, is open to telecommuting and remote work utilizing online team collaboration tools. Travel may be required.
