Description of Work Unit
The C. Wayne McIlwraith Translational Medicine Institute (TMI), a 130,000 square foot building, provides a state-of-the-art facility to perform collaborative research in translational medicine with a focus on biologics such as stem cells. The TMI has capabilities to engage in experimental surgical procedures, advanced imaging capabilities, minimally invasive teaching, hands on experiential learning, didactic lectures (up to 300 people), complete wet laboratory facilities including cGMP space, administrative space for entrepreneurial development/commercialization, as well as food and beverage service.

Position Summary
This position exists to provide administrative assistance and support to the faculty, staff, students, and visitors of the Translational Medicine Institute (TMI). First contact for TMI visitors who must balance the responsibilities of friendly customer service with being the TMI’s primary concierge.
Position Minimum Qualifications
  • Experience in an administrative position, preferably in a Higher Education setting;
  • Record of or demonstrated ability to deliver outstanding customer service;
  • Experience working independently as well as a contributing member of a team;
  • Organizational skills and the ability to manage multiple projects and deadlines;
  • Ability to be proactive and anticipate needs and/or potential issues;
  • Demonstrated written and verbal communication skills;
  • Demonstrated ability to uphold and enforce company policies and procedures;
  • Attention to detail;
  • Confidentiality;
  • Flexibility and the ability to adapt to changing priorities.
Preferred Qualifications
  • Ability and desire to learn new software programs and systems;

Essential Job Duties

Duty/Responsibility
  • Main receptionist and concierge for the TMI, which will include greeting, wayfinding, and assisting both guests and employees. 
    • Guests can include, Continuing Education Program participants, sponsors, and vendors; research program sponsors, visiting scientists, and research participants; TMI Advisory Board members; TMI sponsors and donors; professional DVM students; and Department, College, and CSU leadership. 
    • Employees can include faculty, staff, graduate students, and others from TMI as well as the Department, College, and other CSU Departments and groups.
  • Other responsibilities as the main receptionist include:
    • Provide admin support for TMI Personnel including guests; 
    • Create and/or maintain documents as requested including letters, memos, agreements, correspondence log, and miscellaneous acknowledgments and communications; 
    • Update TMI documents, manuals, etc.; 
    • Coordinate calendar and appointment schedule for administrative faculty and staff; 
    • Direct deliveries and vendors to the appropriate entrance and communicate these with TMI faculty and staff; 
    • Assist with operational maintenance issues by contacting the onsite Tetrad representative or other personnel as needed; 
    • Attend training as requested to support clerical responsibilities (e.g. EMS, Kuali, FreshDesk); 
    • and Copy, scan, and fax material as requested.

Duty/Responsibility
This position provides administrative support to all faculty, fellows, residents, graduate students, and staff at the TMI
  • Coordinates special tours; 
  • Monitor work order and incident reporting systems and relays information to the appropriate person to handle issues; 
  • Other duties as assigned. Duties may include but are not limited to:
    • filing, faxing materials, making copies, ordering office supplies, utilizing Outlook calendar, maintaining paper quantities for copiers/fax machines, keeping supply cabinets neat and orderly, sorting and delivering mail daily, ordering food for non-CE and events put on by the TMI faculty, preparing registration materials and course materials under guidance from the CE Coordinator as needed, deliver department-wide communications when needed.
