Description of Work Unit
The C. Wayne McIlwraith Translational Medicine Institute (TMI), a 130,000 square foot building, provides a state-of-the-art facility to perform collaborative research in translational medicine with a focus on biologics such as stem cells. The TMI has capabilities to engage in experimental surgical procedures, advanced imaging capabilities, minimally invasive teaching, hands on experiential learning, didactic lectures (up to 300 people), complete wet laboratory facilities including cGMP space, administrative space for entrepreneurial development/commercialization, as well as food and beverage service.

Position Summary
The purpose of this position is to provide administrative support to the faculty and staff of the Translational Medicine Institute (TMI). The position provides administrative support to the members of the TMI Executive team and manages processes related to TMI business, administration, communication and logistics in support of the mission of the center. This position also may provide primary telephone and walk-in receptionist service for the 3rd Floor Executive Team. A thorough knowledge of how to direct inquiries to the appropriate office or individuals within CVMBS, TMI and CSU is needed.
Position Minimum Qualifications
Two years of general clerical experience.
Preferred Qualifications
Superior skill performance in the following: 
• Using the Kuali administrative system at CSU
• Has experience communicating with high level donors and supporting their needs during visits to CSU
• Experience with pre- and post-travel documentation within the CSU system. 
• Experience with purchasing in the CSU system. 
• Experience organizing small events including meal planning, ordering, room prep. 
• Interpersonal and Customer Service. 
• Experience providing administrative support to executive, high level, or faculty administrators. 
• 12 months of medical transcriptionist experience using medical terminology. A medical transcription certification may substitute for 3 months of the 12 months requirement for medical transcription experience using medical terminology.

* Provides administrative assistance to the Institute Director, Associate Directors and other Center Directors housed at the TMI and provides support and assistance on project work.
* Create and/or maintain documents as requested including letters, memos, agreements, correspondence log, and miscellaneous acknowledgments and communications.
* Coordinate calendar and appointment schedule Institute Director, Associate Directors and other Center Directors housed at the TMI.
* Attend training as requested to support clerical responsibilities (e.g. EMS, Kuali).
* Copy, scan and fax material as requested.
* Update Institute documents, manuals, etc. as requested.
* Transcribe reports and materials that are dictated or dragon speak case information returned from the faculty and/or staff.
* Give completed report to faculty for review and for corrections. 
** Check to make sure the materials are submitted to appropriate service.

Duty/Responsibility
* Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
* Directs TMI Executive Team visitors by maintaining employee and department directories; giving instructions.
* Maintains security by following procedures; monitoring logbook; issuing visitor badges.
* Maintains telecommunication system by following manufacturer’s instructions for house phone and console operation.
* Maintains safe and clean reception area by complying with procedures, rules, and regulations.
* Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
* Contributes to team effort by accomplishing related results as needed.
* All general group emails and mailings generated by the 3rd Floor Executive team are handled by this position.
* Process incoming and outgoing mail for Institute.
* Schedules visitors for the TMI Executive Team.
* Coordinates tours of the TMI for visiting students, vendors, research agencies, alumni, clients, donors and friends.
* Coordinates events, meetings, fundraising functions, and other events as needed for the TMI Executive Team. 
** Orders refreshments for events, business cards, office chairs, and upgraded desks for faculty and other items as needed.
