The Theatrical Event Manager is responsible for overseeing and managing event operations for Grupo de Teatro en Español. The Theatrical Event Manager is responsible for planning and managing events, leading and directing theatrical performances, attending to emails and phone calls, delegating appropriate tasks to organization members and partners, executing daily tasks in a timely manner including the handling of contracts and paperwork, assist with budget allocation funds, and resolving challenges in day-today operations. The Theatrical Event Manager will work closely with actors, performers, and organization leaders to execute quality theatrical events and performances that meet organization’s goals, mission, and values while ensuring safety policies and procedures are followed at all times.


Essential Duties

  • Oversee daily operations for the planning of shows and events, including managing staff, performers and providing the needed support for such operations. This includes any operational and technical issues regarding event venues and attending to member conflicts and situations.
  • Attend to emails and phone calls to ensure effective internal and external communication across the organization and its partners, members, and university staff, maintaining positive and mutual beneficial relationships including voicing concerns and constantly updating the organizations leader with important information, updates and progress made. 
  • Work with appropriate partners to track and adjust budget funds and expenditures, including submitting receipts and invoices. This includes the handling of contracts and crucial financial paperwork.
  • Lead members and implement an action plan for proper coordination during the process and development of theatrical events. 
  • Delegate tasks and duties to members and performers, including creating event agendas, establishing objectives and timelines, and ensuring they are efficiently met.
  • Sustain proper and efficient contact with food vendors and other external services needed for events.
  • Arrange schedules for event rehearsals and conduct meetings with organization partners.
  • Develop creative and new ideas for the directing and staging of theatrical events.
  • Equip performers with essential supplies and resources needed to execute successful performances and events.
  • Provide a strong support system for organization members and performers to cultivate a safe, inclusive, and healthy work environment upholding the organization’s mission and values.
  • Work collaboratively, foster a safe, inclusive and diverse space for all.
  • Cultivate and lead a fun, optimistic and teamwork-driven working environment inspiring creativity in others.
  • Ensure appropriate policies and procedures are followed and enforced at all times.
  • Coach and guide actors with the development of character roles, including providing essential feedback for performance improvement.
  • Provide support with playwriting for theatrical shows.
  • Host auditions for theater festival performances.
  • Meet one-on-one with members to address specific situations and conflicts.
  • Assist with costumes, makeup, and hair for performers.
  • Work closely with staff of lighting, props and set for event venues.
  • Other duties as assigned.


Qualifications

  • Minimum two (2) years of experience in event management and organization in the theater arts
  • Bilingual in Spanish and English
  • Expertise in social justice issues, art, and performance within the Latinx community.
  • Knowledge of MS Excel and PowerPoint.
  • Ability to work independently and under pressure if any challenges arise.
  • Able to multitask and be flexible.
EDUCATION:
  • Minimum Bachelor’s degree. 



PHYSICAL DEMANDS:
Prolonged standing and walking, talking, hearing, pulling, bending, may carry at least fifteen (15) pounds of objects/material, maybe exposed to extreme noise level, reach with hands or arms, stoop, kneel, taste or smell. Must be able to work outdoor in varying weather conditions.
