Purpose

Work collaboratively with administrative staff across Texas Global to identify efficiencies and support cross-unit processes, while overseeing day-to-day operational building (two floors of N24) management. Provide professional administrative support for designated Texas Global leadership. Supervise office assistants.


Responsibilities

  • Manage the daily operational needs of office equipment, facilities, mail, supplies, vehicle maintenance, etc. Work collaboratively with administrative staff across Texas Global to identify efficiencies and support cross-unit processes. Document processes as developed and updated. Oversee day-to-day operational building management for Texas Global. Serve as the official UT building manager, Lock & Key Services contact, and BACS administrator. Administer building emergency procedures and response plans. Interact with UTPD on security issues as needed.  

  • Perform administrative functions and assigned projects independently and effectively to meet critical deadlines. Conduct specific research and analysis as needed. Prepare documents, reports, and presentations. Synthesize and summarize complex information in formats appropriate to various audiences including correspondence, reports, proposals, procedures, and training documents. Supervise office assistants.  Provide professional administrative support for designated Texas Global leadership. Manage all calendaring with fluid re-prioritization requiring independent decision-making. Schedule appointments and meetings. Coordinate all logistics of meeting organization including room scheduling and set-up, assembly of meeting materials, and hosting on-site.

  • Support the development and coordination of schedules for high-level visitors hosted by Texas Global. Perform administrative tasks as assigned.  Serve as primary liaison for Texas Global contracted services for managed desktop support. Serve as the primary contact for university inventory requirements and records management. Drive UT vehicle as needed.


Required Qualifications

Bachelor's degree and five years of relevant and progressively responsible experience with advanced administrative functions. OR high school graduation or GED, and seven years of administrative experience. Ability to work in a fast-paced environment and effectively manage concurrent projects and constant deadlines. Self-starter with the ability to work independently, efficiently, and flexibly with minimal supervision in a team-oriented environment. Demonstrated problem-solving and critical thinking skills with the ability to work strategically, creatively, and collaboratively. Effective communicator with excellent oral, written, and interpersonal communication skills. Outstanding organizational and time-management skills. Dedication to excellent customer service with the ability to foster and maintain a positive team-oriented environment. High level of proficiency with Microsoft Office programs including Excel, Word, PowerPoint, and Outlook.


Preferred Qualifications

Relevant work experience at The University of Texas at Austin including general knowledge of UT procedures and policies.


Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).


Hourly Rate

$22.50
