About the Department

The Executive Vice President oversees major planning efforts and programmatic initiatives that engage multiple administrative offices and a broad range of work, including campus master planning, architectural design for major capital projects, Facilities Services, the Office of University Events and Ceremonies, executive recruitment and compensation, the Rubenstein Forum, and the Quadrangle Club. The unit also has responsibility for facilitating and implementing strategic initiatives that require significant central coordination.

Job Summary:


The Membership Coordinator for The Quadrangle Club will work as a team member on a wide range of membership strategies and services to enrich member engagement. The ideal candidate is an outgoing, motivated, detail-oriented, and enthusiastic professional who excels in a highly visible role. With a focus on outreach and connecting people, the coordinator will interact with a variety of external and internal University constituents to build relationships and implement business processes. The position requires the utmost level of discretion and professionalism. The Membership Coordinator reports to the Senior Director of Strategic Initiatives and Finance. The role will allow for a flexible and hybrid work arrangement in the Chicagoland area.  Information about The Quadrangle Club at the University of Chicago is available at this link: https://quadclub.uchicago.edu/. This is a temporary position that is expected to last 10-12 months with the possibility of extension based on mutual agreement.

Responsibilities:

  • Serve as primary point-person for current members regarding all aspects and benefits of membership. Serve as a liaison between the University, The Quadrangle Club and its members.

  • Assist in the design, organization, and execution of membership programs and activities.

  • Attend events to promote engagement and present at orientations as directed.

  • Coordinate membership with all University departments and individuals as assigned.

  • Conduct focused outreach to solicit new members and further engage existing members, connecting people to the Club and to each other.

  • Draft all membership materials for approval, including thank you letters, renewals, web content, emails, and special marketing materials as needed.

  • Process membership applications, onboard new members, and provide information to prospective members following membership policy and guidelines.

  • Appropriately elevate membership issues to leadership before escalation.

  • Interact with a diverse and distinguished range of colleagues and professionals, including trustees, donors, and University faculty and leaders.

  • Maintain and update membership lists and database.

  • Maintain relationships with reciprocal clubs and affiliations.

  • Conducts prospect research, prospect management, strategic planning and market research on prospects and donors.

  • Develops, maintains, and updates information on new and existing prospects, solving problems as they arise.

  • Works with prospect management University-wide to design and execute strategies to grow the size of the prospect pool with a moderate level of guidance and direction.

  • Performs other related work as assigned.

Additional Requirements ​​
 

Education, Experience, or Certifications:

Education:

  • College or university degree in related field preferred.

Experience:

  • Proven membership/development/engagement experience in the non-profit sector preferred.

  • Experience working in or closely with higher education preferred.

  • Familiarity with the University of Chicago, The Quadrangle Club, and/or Hyde Park preferred.

Technical Knowledge or Skills:

  • Computer proficiency in MS Office.
