Job Summary

Medical Office Pool

Medical Office Service Coordinators provide technical and administrative services for a hospital-based clinic or an off-site medical office. hey perform and/or lead or supervise the following types of functions: answering telephones; scheduling appointments; verifying eligibility; registering patients checking them in and out; making referrals and obtaining authorizations; abstracting patient records and coding diagnoses and procedures; posting payments and entering charges to automated billing systems; filing and pulling medical record documents and charts; handling, reconciling and depositing cash; and performing other support functions for the office.

Access Representatives support healthcare delivery systems by facilitating patients' entry into the system as well as their continued access to healthcare services. Access Representatives communicate with physicians, insurance companies, government payers, health system representatives, and patients, to verify eligibility and benefits; obtain authorizations; register patients; provide financial counseling; obtain sponsorships for unsecured accounts; provide liaison with referring physicians; assign beds; coordinate nursing resources; track patient property; and perform other similar functions within the hospital and clinics. Access Representatives support both inpatient and outpatient systems and are distinguished from Medical Officer Service Coordinators in that the latter are primarily based in, and perform a broad array of services for, outpatient clinics.

Hospital Unit Service Coordinators perform or direct work which requires special training in and knowledge of hospital patient service functions; and performs other related duties as assigned. Incumbents coordinate with other hospital departments such as Operating Room, Radiology, Clinical Laboratories, Admissions and Central Services in the sending and receiving of patients as well as equipment, specimens and related items; transcribe orders from the doctor's order form in the clinical record to the appropriate filing system; obtain required evaluations and counter signatures of are registered nurse; and requisition medications, special services and materials required for the patient or an appropriate nursing care unit; maintain complete patient records, total patients' 24 hour intake and output records; review transcriptions and other recorded dates for accuracy and correctness; and aid in establishing and maintaining a courteous receptive atmosphere for patients, public and other unit employees. Performance or supervision of tasks in a patient nursing care unit which requires an understanding of the functions of various hospital departments as well as specialized types of surgeries, medical diagnoses, and disease entities.

Minimum Qualifications

 

Minimum 6 months relevant experience in a medical office setting

Knowledge of practices and protocols related to medical office procedures, (i.e. medical terminology, appointments, medical records, insurance verification, cashiering, billing, etc

Experience with an electronic health record (EHR), or electronic medical (EMR) system.

Knowledge of all pertinent laws, regulations, and guidelines governing medical records; confidentiality, privacy, and provision to others, including HIPAA.

Knowledge of health care insurance systems, which may include Medi-Cal, Medicare, HMO, PPO, fee-for-     service, county funded coverage, and workers' compensation, to properly obtain and track authorizations, appoint patients, make referrals for consults, diagnostics, and ancillary services,

       

Experience coordinating hospital services, completing, and submitting billing documentation, and explaining provisions and requirements to patients.

Preferred Qualifications

  • Interpersonal skills to establish and maintain effective working relationships with all co-workers; to consistently interact with patients and other members of the public with patience, courtesy, and professionalism, both in person and on the telephone; and to effectively respond to individuals who may be angry or upset.
  • Organizational skills to establish priorities for own work within stated guidelines; respond flexibly to changes in priorities; and maintain work effectiveness in a setting with a high volume of patient activity and frequent interruptions.
  • Knowledge of ICD-9, CPT and HCPCS coding to identify services performed, including diagnoses, procedures, and supplies.
  • Knowledge of EPIC 
  • Filing skills to maintain logs and files of information in alphabetical, chronological and/or numerical order, such that it is current and easily retrievable.
  • A valid CA Driver's License may be required.

Physical Demands and Work Environment

May be required to:

  • Perform work in a wide variety of work environments.
