The Administrative Coordinator II in Graduate Studies at Texas A&M University at Qatar is responsible for coordinating administrative support functions and handling administrative duties associated with the graduate programs and the graduate office. This position is NOT located in the United States. One must be willing to relocate to Doha, Qatar.

Required Education and Experience:

  • Bachelor’s degree or any equivalent combination of education and experience

  • Two years' experience in office administration or project management including some supervisory experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications

  • Ability to multitask and work cooperatively with others

  • Interpersonal and communication skills

  • Planning and organization skills

Preferred Education and Experience:

  • Bachelor's degree on Business Administration or equivalent combination of education and experience

  • Five years of related experience in a higher education institute

Preferred Knowledge, Skills, and Abilities:

  • Organize of events, coordinate promotional material

  • Language: English and Arabic

Preferred Licenses and Certifications:

  • Additional education, certifications, or experience is advantageous

  • Certified Administrative Professional (CAP).

Responsibilities:

OGS Administrative Support and Graduate Programs Support

  • Participates in the planning and execution of OGS operations.

  • Promotes the program through networking and fairs.

  • Participates in Open House events for promoting the program.

  • Coordinates and provides administrative support associated with the graduate program at TAMUQ.

  • Coordinates and administers Graduate Studies operations of the graduate programs at TAMUQ.

  • Provides administrative coordination and support to the graduate advisors.

  • Liaises between the home campus in College Station, Chemical Engineering Program in TAMUQ on existing student administration. Coordinates documentation being sent to OGAPS in College Station.

  • Acts as a liaison between faculty, graduate students and the relevant offices across TAMUQ and TAMU.

  • Coordinates and organizes orientation and events for new graduate students.

  • Advises graduate students on procedures and deadlines and follows up through email and calendar deadlines.

  • Coordinates the scheduling of Final Exam Thesis Defense for students.

  • Compiles Minutes of Meetings for the examination Committees.

  • Gathers all research procurements related to graduate students.

  • Coordinates and schedules graduate program events in faculty calendars and sends timely reminders to faculty on grade submissions for students.

Invoices and Travel requests

  • Coordinates travel arrangements and prepares itineraries.

  • Supervises routing of travel, and reimbursements of graduate students.

  • Submits RFPs for required invoices.

Events and Additional support

  • Coordinates meetings, seminars, and other special events related and organized by the Graduate Office.

  • Supports the organization of graduate student activities and events.

Data Analytics

  • Collect required data for reports.

  • Performs special analyses and project summaries.

  • Coordinates the maintenance of files, records, office supplies, or equipment.

  • Performs other duties as assigned.
