The Health Science Center (HSC) is looking for a Temporary Program Manager to serve as a member of the Office of Graduate Studies team. We desire an individual who subscribes to and supports our commitment as stated above. The temporary Program Manager P12 is responsible for managing day-to-day operations of the COM Medical Science PhD, MS, and MdPhD graduate programs, and collaboratively works with leadership to plan, organize and implement initiatives related to recruitment of new applicants, enhance academic components of current student populations, and establish networks with former students.The successful applicant will bring an expert level of 5 years of program management experience to the position and understand the demands of supporting executives in a fast-paced environment. This person must be professional, enjoy working in a high-volume environment and be able to apply strong organizational skills while being flexible in their daily routine. What you need to know

Salary: Compensation will be commensurate to selected hire’s experience.

Position Details: This is a temporary position with the following schedule: Tuesday, November 15, 2022 – Wednesday,  March 1, 2023, full time. May be required to work beyond regular office hours during peak program season.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

  • Five years of program or similar office administration experience

Required Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others

Preferred Education and Experience:

  • Master's degree

  • Development and production of marketing materials for academic programs

  • Organization and development of programs including leadership training, conferences, seminars, and workshops

  • Experience working with diverse individuals and communities

  • Supervisory experience to support staff and student assistants

  • Experience in budgetary and contract processes

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of TAMU information systems like COMPOASS, ARGOS, TWAPMTS, Aggiebuy, etc.

Responsibilities:

  • Managing the Medical Science PhD, MS, and MD/PhD programs, and their Support Staff - Responsible for the organization, planning, and direction of the MD/PhD, PhD, and MS in Medical Science programs, including direct supervision over the Academic Advisor and their responsibilities. Coordinate with HR regarding candidates selected for the program as well as with transfers of the Graduate employees to the appropriate laboratories once hired. Coordinate with HR throughout the duration of the Graduate students' employment regarding program stipends and benefits. Develop and implement procedures for the successful administration of these graduate programs, which includes the oversight and guidance of the Graduate Student Organization, and the support to multiple faculty around the MDPhD -steering, executive, admissions committees-, the PhD -Graduate Program Executive, Admissions, and Advisory committees-, and the new MS faculty leadership.

  • Recruiting and Admissions Manager - Responsible for developing and managing strategic plans to support the MDPhD and Medical Sciences programs to include recruiting strategies/implementation and graduate admissions policies/procedures. This includes the planning and implementation of recruiting events.

  • Administrative Support - Responsible for providing direct administrative support to the Assistant Dean of Graduate Studies as well as other faculty, staff and students in the Office of Graduate Studies. This includes proficient use of University portals and systems, including but not limited to, Banner/Compass, Howdy, OGAPS faculty nominations, Section Request System, Graduate Review System, Applicant Information System, GradCas, and canvas.

  • Training and Orientation Management - Responsible for organizing and coordinating multiple events through the year. The recruiting events for all three programs are typically events that brings 100+ people together to motivate new graduate applicants and recruit them to the PhD, MS, and MDPhD programs. Once accepted into the graduate programs, a new student orientation brings together multiple experts from the College of Medicine and across campus to help students navigate their potential needs in terms of research, benefits, career resources, etc. At least two retreats a year, bring students and faculty (100+) together to discuss research trends and foster collaborations. Through the year, external speakers who foster professional and career development skills are brought by Graduate Students who will seek support to develop their travel plans. Perform other duties as assigned.
